Job Description:

JOB RESPONSIBILITIES: In addition to the following performs other related duties as required.

Under the direction and supervision of the Lucas County Child Support Clerical Supervisor or other assigned supervisor, the Clerk II is responsible for but not limited to preparation of routine, repetitive, correspondence, such as letters, memos, and reports. Must be able to perform other computer tasks as assigned, including OnBase imaging, according to detailed and specific instructions provided by their supervisor or designee. The Clerk II will perform Receiving Clerk duties as assigned including physical tasks such as filing, unloading and distribution of supplies. The Clerk II will perform Front Desk Reception duties as assigned. Receiving Clerk and Receptionist responsibilities shall be subject to Temporary Work Level compensation. The Clerk II is responsible for providing clerical support to Case Managers and other Agency departments as needed.

ESSENTIAL FUNCTIONS OF THE POSITION:

* Functions under the direction of the Supervisor and performs a wide variety of clerical tasks.

* Provides clerical support as needed, including but not limited to: answers and directs telephone calls from clients or other Agency employees, operates various small office machinery (e.g. scanner, copier, fax machine, shredder), schedules appointments, meetings and interviews as directed, searches files and retrieves requested materials and information, files and operates computer to retrieve data.

* Responsible for more detailed sorting, filing, alphabetizing and copying of documents, including judgment entries from Court files; assist with opening, delivery and pick up of court and regular mail and routing of same to individual departments and staff of the Child Support Enforcement Agency ; may keep logs for dockets and other related unit procedures.

* Help maintain paper and electronic file system; performs imaging as assigned; locates missing files; mails correspondence and form letters; runs printouts; pulls, transports and retrieves files and other correspondence/documents; runs payment history screens for Agency personnel, other courts, and clients as needed.

* Must be able to perform all physical tasks required to maintain file area.

* Acts as the Receiving Clerk as required and assigned, subject to Temporary Work Level pay. Must be able to perform all essential job functions of the Receiving Clerk, including but not limited to unloading deliveries and distribution of supplies and equipment, maintenance of storage area and recycling/shredding bins, and postal runs.

* Acts as Receptionist as required and assigned, subject to Temporary Work Level pay. Must be able to perform all essential job functions of the Receptionist, including but not limited to greeting and receiving clients/visitors, logging them in and directing them to appropriate staff, operation of central control system console (including answering, screening and directing calls), and providing payment information to clients, and running payment history screens as requested.

* Must be able to assist Case Managers by utilizing Microsoft Office or other products/programs and perform assigned clerical/data entry duties as assigned.

* Sends and receives outgoing and incoming mail for the agency.

* Assists with processing large scale work projects and special projects.

* Be familiar with Agency forms as it relates to job responsibilities and corresponding job functions.

* Be familiar with Child Support Enforcement Manual and Agency procedural manual as it relates to job responsibilities and corresponding job functions.

* Assists in the training of new clerks in the department.

* Performs other related duties as assigned.

QUALIFICATIONS:

1) High school graduate or equivalent; AND

2) Six (6) months experience in clerical/administrative support position involving data entry, and filing;

3) Lift up to 50 lbs.

4) Must possess a valid driver's license and must maintain a driving record that meets Lucas County insurability standards.

LICENSURE OR CERTIFICATION REQUIREMENTS:

Must possess and maintain a valid driver's license that meets Lucas County insurability standards.

KNOWLEDGE, SKILLS AND ABILITIES: necessary to perform duties (* indicates developed after employment).

Knowledge of: Agency policies & procedures*; Office practices and procedures*' government and structure process*; office machines and software to include telephones, voice mail, document shredder, computer, email, internet, copier, printers, scanner, fax, etc.

Skill in: Operating office equipment, personal computer, scanning equipment; typing; requires considerable skill in the application of office methods and procedures; English, spelling, and grammar skills.

Ability to: Operate and maintain office equipment. Apply principles to solve practical everyday problems; read and comprehend instructions; collect data, establish facts; work alone or with others; comprehend and record figures accurately; maintain accurate records; screen mail; gather, collect, and classify information; demonstrate good English skills, ability to effectively present information, prioritize work, ability to carry out instructions furnished in written or oral form; retain confidentiality of client information; demonstrate strength to move (i.e. push, pull, or otherwise) and lift up to fifty (50) pounds; and drive an automobile.
