PURPOSE OF POSITION
Perform a variety of office and secretarial duties, research, schedule bookings, and give information about the department's activities.
ESSENTIAL FUNCTIONS
* Compose letters, memoranda, and staff reports and respond to inquiries.
* Receive departmental staff, visitors, and guests to the Center.
* Answer telephone inquiries regarding rental information, hours of operation, membership questions concerning the Glass Recreation Center, and the City of Tyler.
* Develop and maintain filing system, which includes reviewing and verifying accuracy of data for administration and operations.
* Preface documents for filing.
* Communicate with clubs, organizations, etc. to resolve problems and provide service assistance.
* Edit, type and distribute documents and correspondence necessary for departmental activities.
* Assist Center Administrator in compiling data for reports, (attendance, financial, and operational) on a weekly, monthly, and yearly basis, as well as bookkeeping duties (daily ledgers, weekly receipts, monthly balancing).
* Control inventory of office supplies.
* Must have a wide variety of office skills including: composition and grammar; the operation of business office machines and equipment, including computer, calculator, copy machine, fax machine, telephone; files and filing systems; public relations techniques; and principles and practices of office methods and procedures.
* Must be a team player and able to work with other employees in the center and with other departments.
* Must be able to stand and walk up to 2 hours daily and sit up to 6 hours daily; reach and handle supplies up to 3 hours daily; speak English in an educated manner and communicate with the public, employees, and management.
MINIMUM QUALIFICATIONS
Education and Experience - High school diploma or GED and one year office experience. Must have good typing skills. Must have a valid Texas Class C driver's license with a clear driving record.
