JOB DESCRIPTION:
Primary Purpose: Organize and manage the routine work activities of the Special Education Department. Provide assistance with data collection and record management.
RESPONSIBILITIES:
Major Responsibilities and Duties
Records, Reports and Correspondence
* Prepare forms, manuals, schedules and reports for office staff.
* Compile pertinent data as needed when preparing various federal, state and local reports.
* Maintain physical and computerized departmental files.
* Maintain and/or create spreadsheets, databases and general office documents.
* Organize incoming data to support Special Education Corrective Action Plans (CAP).
Clerical
* Scan records on special education students who leave the district via the Texas Records Exchange (TREx) system.
* Fill requests for records on special education students for other sources (e.g. social security, disability, parental and adult student).
* Maintain accurate student eligibility files (active and inactive):
* Create new folders for initial and transfer students new to the district.
* Reactivate folders for initials who may have been previously DNQ (Did Not Qualify) or dismissals.
* Reactivate folders for transfer students previously in the district.
* File original Admission, Review and Dismissal (ARD) paperwork received from the campuses in students' eligibility folders.
* Maintain active folders in the Special Education Department, keeping them neat and in alphabetical order.
* Reconcile active folders several times per year against PEIMS report to verify that each student has a folder.
* Maintain files and database on inactive students.
* Produce student records and data upon request.
* Answer and respond to incoming calls, take reliable messages and route to appropriate staff.
* Maintain a schedule of appointments and assist with scheduling and setup of meetings.
* Receive, sort and distribute mail and other documents to appropriate staff.
* Maintain strict confidence about students' behaviors, records, families and school information.
* Scan most recent ARD information in students' special services folders that is of destroyable age.
* Create any Excel reports needed by coordinators/director.
* Provide necessary assistance to coordinators/director when asked.
* Produce copies as needed
* Shred all folders to be destroyed after scanning.
* Assist in filing records and moving files to the archive room.
* Attendance at work is an essential function.
* Other duties as assigned.

EXPERIENCE:
Minimum Experience:
* One year of clerical experience in an office setting
QUALIFICATIONS:
Minimum Education/Certification:
* High school diploma or G.E.D.
* Valid Texas driver's license
* Eligible for coverage under the District's vehicle insurance program
Special Knowledge/Skills:
* Proficient skills in keyboarding, word processing and file maintenance
* Effective communication and interpersonal skills
* Basic math skills
* Ability to use personal computer and software to develop spreadsheets, databases and do word processing
OTHER INFORMATION:
Equipment Used: Computer, printer, telephone, scanner, copier, shredder, fax machine and other common office equipment. Working Conditions: Mental/Physical Demands/Environmental Factors: Works with frequent interruptions, maintain emotional control under stress. Repetitive hand motions, prolonged use of computer.
