Summary of Essential Duties

The Client Service & Operations Associate plays a crucial role in supporting firm operations and ensuring an exceptional client experience. This is achieved through direct client interaction as well as behind the scenes coordination with the team to deliver “six-star” client service. Strong written and verbal communication skills, a can-do attitude, and a strong aptitude for learning are essential. Candidates must have the ability to prioritize workloads effectively and complete tasks within time constraints. Attention to detail, organizational skills, and the ability to follow instructions accurately are critical to ensuring quality outcomes.

A successful Client Service & Operations Associate will:

  • Support exceptional customer service with prompt follow-up and proactive problem solving
  • Ensure paperwork is processed accurately to minimize errors and reduce client rework
  • Demonstrate the ability to manage both big-picture strategies and detailed process implementation

Service & Operations Responsibilities:

  • Act as the primary contact for client service questions, issues, and problem resolution, including handling complex requests and escalating when necessary
  • Work directly with investment custodians, broker-dealer, and other professionals
  • Track all client updates and interactions in CRM, and assign and complete client-related tasks
  • Prepare and process client review materials, ensuring data accuracy for client meetings
  • Prepare and process paperwork for client transactions, including account openings/closings, transfers, deposits, withdrawals, and more
  • Manage multiple Excel spreadsheets for reporting, RMDs, performance tracking, and other operational tasks
  • Assist new users with technology and troubleshoot any system access or web link issues
  • Prepare and process paperwork for insurance and annuities
  • Maintain physical and electronic client files in compliance with firm standards
  • Conduct paperwork signing appointments and rollover calls with clients

Knowledge, Skills, & Attributes:

  • Strong problem-solving and creative thinking skills
  • Flawless attention to detail and accuracy is a must
  • Outstanding organizational skills with the ability to multi-task and meet deadlines independently
  • High level of professionalism, with uncompromised ability to maintain confidentiality and integrity
  • Self-motivated, eager to learn, and willing to collaborate with the team
  • Advanced computer skills, including a strong command of Microsoft Office Suite

Preferred Qualifications:

  • Series 7 (or ability to obtain)
  • Minimum of five (5) years of experience in the financial services industry
  • Minimum of two (2) years in a client service or operations role
  • Bachelor's degree or relevant experience
  • Experience with eMoney and Redtail
