We are actively seeking a full-time Client Services Associate to join our growing firm in Parsippany, NJ office.

Summary:

The Client Services Associate (CSA) plays a vital role in supporting the operations of Sax Wealth Advisors by delivering exceptional service to clients and supporting the team of wealth advisors. This role involves coordinating with clients, processing paperwork, handling administrative tasks, and ensuring an efficient, client-focused experience. The CSA is key to fostering client relationships, maintaining operational excellence, and contributing to the overall success of the firm.

Essential Duties and Responsibilities:

• Support client onboarding, including setting up new accounts, processing forms, and ensuring all required documentation is complete and accurate.

• Schedule and coordinate client meetings, prepare necessary materials, and handle follow-ups.

• Address client concerns with professionalism and escalate issues to advisors or management as appropriate.

• Process client transactions, such as deposits, withdrawals, and account transfers, ensuring accuracy and compliance with regulatory standards.

• Monitor and manage client account activities, including tracking required minimum distributions, account changes, and updates.

• Assist with preparing and delivering regular account performance reports, statements, and other documents.

• Help ensure compliance with all relevant regulations and firm policies in all client interactions and documentation.

• Maintain organized client records and files, ensuring confidentiality and compliance with data security standards.

• Support the Wealth Advisors in day-to-day tasks, including data entry, assist in preparing client reviews, and updating CRM systems.

• Work closely with advisors, portfolio managers, and other team members to ensure seamless client service.

• Communicate with custodians, financial institutions, and third-party vendors to resolve client-related issues and inquiries.

• Support cross-functional projects and team goals as required by management.

Qualifications:

Education and/or Work Experience

• Bachelor's degree or 1 - 3 years of experience in a client service role, preferably in financial services or wealth management.

Specialized Skills

• Familiarity with Custodians (Charles Schwab & Fidelity)

• Working knowledge of Windows Operating systems & Microsoft Office

• Experience with tools used on daily basis – CRM, and other Portfolio Management tools is a plus.

• Strong interpersonal skills and the ability to work well with others and communicate with various personality types and levels of expertise.

• Ability to multi-task and quickly switch priorities when necessary to manage deadlines.

• Must be organized and efficient in a demanding work environment.
