Job Description:
The Central Investment Advisors Client Services Specialist will be responsible for supporting the assigned Financial Advisor (can be multiple) in various aspects of client/broker relations and assisting with non-advice related client inquiries. This position may also support with Financial Advisors in other office locations. Essential Duties and Responsibilities:Maintain contact and client management databaseUpdate and maintain required management reportsComplete & submit electronically the Monthly Correspondence received, if any.Maintain required files by FINRA (i.e. Sales Literature, correspondence, etc.)Communicate with program management on office activities and Advisors on client reportsGenerate & distribute reports to specified clientsCoordinate with CIA Assistant PM on report setup and creationEstablish new contacts/clients & maintain existing contacts Complete house holding of client baseEnsure all contacts are linked from Redtail to ClientWorks and that duplicate contacts are cleaned up weeklyUpdate Representative calendar to include appointments, tasks and client meeting notesMaintain and complete workflow items as established and assigned by the CIA Assistant PM and/or AdvisorLook for efficiencies within office for new workflows possibilitiesAnswer and place outbound calls/appointmentsSchedule 3-4 appointments daily for each AdvisorGenerate auto appointment remindersEstablish Zoom meeting sessionsPrep necessary reports & documents for upcoming appointmentsAssist in completion of new account paperworkMaintain client filesPrepare general correspondenceNotify Advisor of reorganization offers effecting clientsMaintain required FINRA branch filesPerform general office dutiesUpdate brokerage funding account informationVerify dividend and interest paymentsCommunicate status of account transfersFurnish client with cost basis information available in branch officeFollow-up to general client inquiries with regard to LPL and bank accountsWork closely with branch banking personnel to ensure that client bank relationship is satisfactoryWork closely with the CIA Marketing Coordinator in the development of marketing items to be used in the branch office and disseminate materials at the direction of the Advisor and/or the CIA Marketing CoordinatorUse digital storefront to order approved marketing materialsRequired attendance at annual CSS meetingsOngoing training & certification on program softwareCommunication of learned efficiencies to CIA Assistant PM.Other duties and responsibilities as assignedBachelor's Degree in the Business discipline desired or equivalent work experienceBanking or Finance experience preferredSeries 7 and Series 66 Licenses preferred or willingness to obtain within 1 yearExceptional customer-service attitude with strong client relation skillsCapable of managing multiple tasks, prioritizing and meet deadlines.Strong organizational skills.Strong PC skills.Creative thinking and ability to share ideasSelf-starter - initiative to begin projects independentlyCapability to work with various software productsEffective oral & written communication skillsAttention to detail is key
