Job Description:

The Administrative Assistant is responsible for the providing essential clerical and administrative support to ensure the successful operation of the Downtown Brooklyn Speech-Language & Hearing Clinic. The Administrative Assistant is responsible for ensuring accurate data entry for all new and recurring clients, and providing ongoing user support to clinical supervisors, graduate student clinicians, and clients. This full-time position involves proficiency in knowledge of medical billing and insurance. The Administrative Assistant is responsible for continually updating and monitoring the Electronic Health Records (EHR) system and trouble-shooting improvements with the system's developers. The candidate should be fully trained in HIPAA compliance, and demonstrates experience in maintenance of confidential records. The Administrative Assistant will report to the Clinic Director and may be assigned other tasks as needed.

The essential responsibilities include:

1. Patient and Client Coordination: Scheduling appointments, maintaining patient records, handling patient intake, and ensuring proper documentation and forms are completed.

2. Administrative Support: Assisting clinic directors, faculty, and clinical staff with day-to-day tasks such as answering phones, managing emails, handling correspondence, and maintaining clinic supplies.

3. Record Keeping: Maintaining accurate files and databases for clinical records, patient information, and scheduling systems.

4. Communication and Coordination: Acting as a liaison between clinicians, patients, students, and external stakeholders to ensure the efficient functioning of the clinic.

5. Financial and Billing Management: Processing invoices, handling billing, and tracking payments for clinical services.

6. Student and Intern Support: Coordinating schedules for student clinicians, managing clinic resources, and facilitating communication between staff, students, and clients.

The position requires a mature, experienced individual who shows strong initiative, good independent judgement, and exceptional interpersonal skills. The Administrative Assistant requires advanced organizational and time management skills, as well as strong verbal and written communication skills. The candidate must demonstrate compassion in interaction with graduate student clinicians in their beginning clinical rotations but also when engaging our clientele with communication challenges and their families/caregivers. Candidates who possess cultural sensitivity, and recognize and respect diverse cultural backgrounds and communication styles are a must. Candidates fluent in a language in addition to English is preferred.
