Job Description:
Key Responsibilities:Clinic Operations:
  • Oversee the day-to-day operations of the clinic, ensuring smooth and efficient workflows in all departments (front desk, clinical areas, billing, etc.).
  • Coordinate staffing schedules, ensuring adequate coverage for all clinic functions, and manage staff time-off requests in collaboration with the Practice Manager.
  • Ensure that patient appointments, procedures, and follow-ups are scheduled and managed efficiently.
  • Work with medical providers and staff to maintain a high standard of patient care and satisfaction.
  • Perform additional tasks and responsibilities as reasonably requested by your manager.
Staff Management:
  • Provide leadership, training, and support to clinical and administrative staff, ensuring that everyone understands and adheres to clinic policies and procedures.
  • Monitor staff performance, provide feedback, and assist in the development of staff through training opportunities.
  • Serve as the point of contact for conflict resolution between staff members or between staff and patients.
  • Collaborate with the Practice Manager to conduct performance reviews and help set team goals.
Patient Experience:
  • Oversee the patient intake and check-out process to ensure a smooth and efficient experience.
  • Address patient concerns, complaints, and feedback, working to resolve issues promptly.
  • Ensure all patient communications (scheduling, reminders, billing, etc.) are timely and professional.
  • Continuously monitor patient satisfaction and implement improvements as needed to enhance the patient experience.
Compliance & Quality Control:
  • Ensure the clinic complies with all healthcare regulations, including HIPAA, OSHA, and other relevant local and federal laws.
  • Assist in maintaining a safe and clean clinic environment, ensuring proper sterilization, infection control, and equipment maintenance.
  • Work with the Practice Manager to implement quality assurance programs, track key performance indicators (KPIs), and recommend improvements.
Administrative Support:
  • Maintain accurate records and documentation in the clinic's electronic health records (EHR) system.
  • Assist with inventory management, ensuring that medical supplies, equipment, and medications are properly stocked and maintained.
  • Coordinate with the billing department to ensure accurate coding, billing, and timely payment collections.
  • Assist the Practice Manager in developing budgets, managing expenses, and improving cost efficiency.
Collaboration & Communication:
  • Serve as a liaison between medical providers, staff, and administration to ensure effective communication and collaboration across departments.
  • Participate in management meetings and contribute to discussions on clinic strategy, growth, and patient care improvements.
  • Collaborate with the Practice Manager on projects related to clinic expansion, marketing, and community outreach.
Qualifications:
  • Bachelor's degree in healthcare administration, business management, or related field is strongly desired, but not required.
  • At least 3 years of experience in a healthcare clinic or medical office setting, with some supervisory or leadership experience.
  • Strong knowledge of medical office operations, including patient scheduling, billing, and healthcare regulations.
  • Proficiency in using electronic health records (EHR) systems and office management software.
  • Excellent interpersonal, leadership, and communication skills.
  • Ability to multitask, prioritize, and work efficiently in a fast-paced healthcare environment.
Work Environment:This is a full-time position in a clinical office setting.Some flexibility in schedule may be required to accommodate clinic hours, which may include early mornings or occasional evenings.Position requires sitting, standing, and walking for extended periods, and working with computers or medical equipment.
