MINIMUM JOB REQUIREMENTS

* High School diploma (or GED equivalent).

* At least 18 years of age.

* A valid driver's license and reliable transportation.

* One (1) or more years of professional front office/reception experience.

* Familiarity with Electronic Health Records (EHR) systems.

* Proficient in operating a computer and multi-line phone system, including transferring calls and paging.

* Basic understanding of insurance verification, billing, and coding procedures.

* Proficient in Microsoft office suite (word, excel, & outlook) and ability to learn new software applications quickly.

* Strong attention to detail and accuracy, especially when processing medical records and cash transactions.

* Strong interpersonal skills and the ability to interact with patients and staff in a professional manner.

* Ability to work well both in a team and independently with minimal supervision.

* Comfortable working in a fast-paced environment with fluctuating demands while maintaining attention to detail.

* Strong written and communication skills.

* Willingness to work flexible hours as needed to accommodate clinic scheduling.

* This is a covered position and will be subject to pre-employment drug testing and criminal history background check.

* Must have employment eligibility in the U.S.

* Indian preference will be observed in the hiring process.

PREFERRED QUALIFICATIONS

* Healthcare setting experience (physician office, hospital setting, medical clinic).

* NextGen software experience.

* Knowledge of medical terminology and insurance.

* Experience working in or with tribal communities or understanding of Native American culture.

SUMMARY

The Clinic Scheduler is responsible for coordinating with multiple departments, physicians, and facilities to provide timely access to specialty care. The Clinic Scheduler coordinates all clinic visits along with all outpatient procedures at Three Rivers Health Center to include diagnostic testing, outside referral management, including the care provided in the clinic setting.

PRINCIPAL ACTIVITIES & RESPONSIBILITIES

* Coordinates and schedules all clinic visits and outpatient procedures; including the detailed completion of orders and requests to include pre-certifications for diagnostic testing as required.

* Collaborate with the medical team to optimize scheduling and accommodate patient needs.

* Processes patient recall in a timely manner to include recall notification for patient, scheduling upcoming clinic appointments, testing and/or procedures.

* Answers and directs all incoming clinic phone calls, checks voicemail and fax for messages.

* Warmly greets and registers patients for clinic visits, verifying insurance, demographic information and updating as needed.

* Receive cash and insurance payments, prepare deposits and daily deposit summaries.

* Prepare patient charts for appointments ensuring accurate and complete information is ready for patient's visit.

* Assist in managing appointment reminders and follow-up calls to reduce no-shows.

* May perform additional duties within position scope to support efficient operations within the Clinic

* Ensures strict adherence to confidentiality policies and HIPAA guidelines.

* Comply with the Three Rivers Health Center Compliance Program including but not limited to, the Code of Conduct, all related federal, state, local laws and regulations.

PHYSICAL & MENTAL DEMANDS

* Must be able to walk, talk, hear, use hands to handle, feel or operate objects, tools, or controls, and reach with hands and arms.

* Must be able to work on a computer to fulfill the job requirements.

* Vision abilities required by this job include close vision and the ability to adjust focus.

* Must be willing and able to work long hours, which may include evenings and weekends.

WORKING CONDITIONS & ENVIRONMENT

* Varied activities including standing, walking, reaching, bending, lifting.

* Must have a private space to work so the employee can comply with HIPAA guidelines.

* May be required to attend meetings, conferences and Tribal events.
