The creation of the HHC System Support Office recognizes the work of a large and growing group of employees whose responsibilities are continually evolving so that we and our departments now work on behalf of the system as a whole, rather than a single member organization.

Position Summary:

Responsible for stewarding a portfolio of initiatives in Academic Affairs by supporting Executives to drive transformational change. Works collaboratively with diverse stakeholders across the organization to manage projects through the development of standard processes to accomplish work in alignment with organizational objectives and goals. Drives projects from ideation to implementation using data to inform decisions. Reports to the System Director, Academic Affairs.

Position Responsibilities:

Key Areas of Responsibility

Portfolio and Program Management

a. Accountable for managing complex system-wide Academics program portfolio (comprised of smaller projects, initiatives). Executes and delivers using LEAN principles and project management expertise ensuring that full requirements are satisfactorily met on-scope, on-time, and on-budget, with quality and customer satisfaction.

b. Applies and integrates change management methodology in the face of uncertainty, aggressive deadlines in a rapidly growing healthcare system and program with evolving business model.

c. Organizes cross-functional meetings and fosters teamwork; drives issue escalation and resolution

d. Ensures that the scope of projects aligns with business and strategic priorities.

e. Develops and reviews & manages project budget, resource allocation, key performance metrics and outcomes.

f. Manages contractual relationships with key partners

g. Conducts key project meetings for stakeholders, sponsors, teams, etc.

h. Creates meeting materials (including agendas, presentations, meeting minutes and other project-supporting materials as required for the project team members) and tracks completion to ensure quality and integrity of deliverables

Strategic Partnership and Collaboration

a. Partners with diverse teams and leaders across the organization on system-wide programs and initiatives.

b. Consults leaders and stakeholders on HHC's integrated project and change management methodology.

c. Work collaboratively across project stakeholders to establish roles and responsibilities, effectively manage project expectations, communicate results, mitigate risks, and resolve issues.

d. Proactively builds and manages strategic relationships with all business partners to optimize performance/results.

Process Improvement and Quality

a. Manage project financials, analyze variances and implement corrective actions for large system programs.

b. Raise concerns to senior leadership along with recommendations for options/solutions.

c. Provide senior leaders with reports on program/project health with enterprise connections and perspective.

d. Ensure compliance with standard project delivery framework, while continuing to seek and implement opportunities for improvements.

e. Serves as a consultant in the evaluation and analysis of all current practice operations and processes, while providing innovative solutions to reduce gaps and minimize waste in the process.

f. Constantly seeks ways to improve departmental processes, products and policies.

Analytics & Data Support

a. Uses and maintains dashboards and reports to monitor key critical performance measurements.

b. Compiles data from various sources. Analyzes and interprets data in order to provide alternatives and make recommendations.

c. In collaboration with stakeholders from various departments and functional areas, creates reports for project teams in order to manage priorities, highlight risks/issues and share best practices.

Requirements and Specifications:

Education

* Minimum: Bachelor's Degree

* Preferred: Master's Degree in Health Administration, Public Health, Management or related discipline

Experience:

* Minimum: 2-4 years of healthcare-related experience in an administrative or project management role

* Preferred: Experience in a post-secondary educational setting; familiarity with GME/UME regulations

Licensure, Certification, Registration

* Preferred: Change Management/Project Management

Knowledge, Skills and Ability Requirements:

* Strong problem-solving and critical-thinking skills with the ability to execute with limited information and ambiguity.

* Demonstrated ability to work in a fast-paced working environment.

* Knowledge of project and change management principles and terms.

* Requires advanced computer skills (e.g., generating spreadsheet or word processing macros; developing templates for use by other team members; preparing presentations).

* Demonstrated leadership, facilitation and networking skills with an ability to identify and solve operational problems and support the mission and vision of HHC.

* Demonstrated experience with Lean methodology and Project management

* Demonstrated service excellence and customer service orientation
