Job Description:

Job Summary:

The Clinical Operations Specialist provides operational support as the subject matter expert for business applications, systems and tracking to initiate and execute contracts and to process payments for Clinical Research & Operations as well as Scientific Data & Communications. This role will work cross-functionally with Terumo departments such as Legal and Compliance, Finance and IT departments to provide clinical site, Medical Affairs consultant, and vendor payment reporting. The primary objective of this position is to create, maintain, and improve internal payments systems and contracting processes.

Job Details:

Initiate, facilitate negotiate and maintain contracts for Medical Affairs consultants, clinical study sites and Medical Affairs vendors.

Track and process invoices, and data capture payments for Medical Affairs consultants, clinical study sites and Medical Affairs vendors.

Monitor project financial milestones and work order consumption of budget, and renewals.

Collaborate with Legal & Compliance department in annual Sunshine Act Reporting for all funds related to Health Care Providers (HCPs) used for Medical Affairs initiatives. Facilitate collection of vendor data for reporting.

Develop and manage the transfer of out-sourced site payments to an internal site payment process.

Develop processes and work instructions to support clinical payments and contracts.

Manage ethiXbase submissions for all CR&O HCPs, clinical sites, and vendors.

Create and maintain clinical data system module specific to clinical site payments. Collaborate with Data Management team for system specifications and creation of reports and metrics.

Coordinate vendor and attendee contracts, travel arrangements for CR&O and SD&C group meetings (e.g., medical advisory board, and National Principal Investigator meetings).

Perform other job duties as required.

Position Requirements:

Knowledge, Skills and Abilities (KSAs)

Thorough understanding of standard invoicing and payments processes.

Ability to work cross-functionally with colleagues in other departments

Ability to recognize f areas for process improvements & take proactive action to optimize processes.

Ability to manage ambiguity and work independently.

Self-motivated, excellent attention to detail and organizational skills.

Skilled in MS Office Suite (e.g., Word, Excel, and Power Point).

Ability to prioritize and escalate appropriately.

Good interpersonal, problem solving, and communication skills.

Background Experiences

Bachelor s degree with minimum 3 years experience supporting a life sciences organization with direct contracting and/or finance department experience or a similar functional area required, or equivalent combination of education, training, and relevant experience.

Experience with payment processes preferred.

Experience with at a medical device or pharmaceutical company (highly preferred).

Experience in financial tracking software, preferred.
