**GENERAL DUTIES**
- Under supervision, performs miscellaneous clerical, administrative, research or other work related to the operation of a College or other unit where such work is required on a part-time basis or for a period of limited duration.
- There is one Assignment Level for this position. All personnel perform related work. This specification describes typical assignments; related duties may be assigned as
needed.
- Maximum tenure for any employee in this hourly position is 1040 hours per year.
- Performs routine clerical work; may answer and attend to telephone calls; maintain records,
operate office machines (such as copier), sort and distribute mail, issue keys and identity cards,
act as messenger, and perform related tasks as required.
- Types letters, memoranda, charts, and similar materials.
- Acts as cashier.
- Assists in statistical or research activities. May collect and compile data, code data for computer entry, perform data entry, and run computer reports.
- Performs clerical library work, such as sorting and shelving books, performing data entry into library systems, or binding books and periodicals.
- Assists in instructional programs, including tutoring and assisting students in areas such as reading and mathematics. May assist in speech and hearing therapy, provide musical accompaniment, and/or distribute and collect physical education equipment.
- Enters and maintains departmental records such as inventory control records, rosters, directories, and schedules.
- May operate computers, computer software, and other electronic equipment in performing assigned tasks.

The Ph.D. Program In Mathematics at The Graduate Center of CUNY (GC) is a first rate leading program, a crossroads for the many research mathematicians working in the City University of New York (CUNY). Respecting the model of the Graduate Center, It Is a truly consortia! Program with over 100 students and faculty members. Ours is the only one offering a doctoral degree in Mathematics and although housed at the Graduate Center, the majority of our faculty members have dual appointments at the Graduate Center and at one of the other colleges within the CUNY system. The Executive Office serves as the hub of this expansive consortium, facilitating student progress, research and scholarly productivity, and campus cooperation. Reporting directly to the Assistant Program Officer (APO), the College Assistant (CA), will carry out all the necessary duties to maintain optimal efficiency in the operation of the Executive Office, by supporting the work of the Executive Officer, Deputy Executive Officer, Assistant Program Officer, faculty, student leaders, and the mission of the doctoral Program in Mathematics.
Under the supervision of the Assistant Program Officer and the Executive Officer, the College Assistant performs administrative, research, clerical and other work related to Ph.D. Program in Mathematics at the Graduate Center on a part-time basis. The College Assistant will work 20 hours per week.
Primary duties of providing support to the Assistant Program Officer, Executive Officer and Deputy Executive Officer in the day to day operations of the Program include but are not limited to the following:
- Collecting, assembling, distributing and posting on our website the Mathematics Seminars Bulletin on a weekly basis;
- Assisting in event and meeting planning and management as requested through creating fliers and publicizing events, setting up of events, etc.;
- Ensuring that the Mathematics Program website Is up-to-date and complete and updating pages as needed;
-Processing forms and receipts for faculty, student and guest speaker reimbursement/payment (for out-of-pocket expenses, honorarium, etc.);
- Doing standard office work including filing (including e-filing), answering phones and ordering supplies;
- Handling AV, catering, and facilities requests;
- Assist in creating, developing, and maintaining, tracking databases in EXCEL on an ongoing basis;
- Gathering and maintaining course syllabi information from facility and seminar updates from organizers;
- Interact with other GC offices and programs as needed;
- Other duties may include special projects or duties related to the well-functioning of the Program.
**MINIMUM QUALIFICATIONS**
- Must demonstrate sufficient skills to perform the duties of the assigned tasks.
**OTHER QUALIFICATIONS**
- Previous professional office experience
- Proficient in Excel, Word, Outlook, PowerPoint and Adobe Pro.
- Excellent organizational skills, attention to detail and accuracy, ability to prioritize, and follow through on tasks.
- Experience maintaining websites a plus.
- Follows established processes or devises innovative approaches as needed.
- Good communication and Interpersonal skills.
- Ability to demonstrate professionalism, reliability, and be highly organized.
- Ability to multitask, be flexible, deliver consistent and high-quality work, and meet tight deadlines.
- Ability to deal effectively with faculty, students and staff members.
- Mature judgment in handling sensitive and confidential information.
- A high level of customer service skills.
**COMPENSATION**
$20.00 per hour
