MobilityWorks is seeking a motivated and dynamic individual to join our team as a Commercial Sales Administrator. This role is essential in supporting our Commercial Vehicle Consultants and ensuring the seamless execution of administrative functions within our commercial sales division. Role Overview: As a Commercial Sales Administrator, you will play a pivotal role in coordinating customer contracts, paperwork, orders, reports, scheduling, and other administrative tasks. Your proactive approach and meticulous attention to detail will contribute to the success of our commercial sales operations. Essential Job Functions and Duties: Coordinate the delivery date, time, and location of vehicle delivery. Collaborate with drivers and store personnel, if needed, to ensure smooth operations. Ensure accurate and complete customer paperwork and invoicing, including state-specific requirements. Review and verify dealer buyers' orders for accuracy, deposits, rebates, and incentives. Facilitate the submission of signed paperwork to finance companies or dealers. Manage payment processes for vehicles or equipment. Provide regular updates to customers regarding delivery timetables based on production schedules. Conduct follow-up calls and send thank-you cards to ensure customer satisfaction. Ensure proper financing is secured and aligns with approved terms. Collaborate with the Finance Department, customers, dealers, and stores. Facilitate timely payment of aftermarket deals to stores and ensure accurate profit reporting. Assist in completing warranty documentation and related processes. Deliver exceptional customer service, addressing inquiries and needs effectively. Upload signed orders/purchase orders and floorplans to won proposals. Conduct follow-up calls and send thank-you cards to customers. Assist Commercial Vehicle Consultants with expense reports when required. Adhere to company policies, safety regulations, and core values. Perform other duties as assigned. Position Qualifications and Entrance Requirements: High school diploma or GED required. Preferably 2-3 years of administrative experience in a dealership setting. Excellent customer service skills and experience. Strong verbal, written, and interpersonal communication skills. Proven ability to work independently with minimal supervision. Successful completion of criminal and motor vehicle background checks and pre-employment drug screening.
