Job Description:
We are seeking a dynamic and detail-oriented Communications & Office Administrator to play a pivotal role in internal and external communications, event management, and administrative support. This role is essential to ensuring smooth office functions and offering high-level support to leadership and the communications team. This position offers significant growth potential, with opportunities to expand into a leadership role in communications and external reputation management.Key Responsibilities:
  • Administrative Support:
    • Serve as a front-line contact for office management duties, including handling deliveries, greeting guests, and managing front door access remotely.
    • Liaise with travel agencies and airlines (World Travel, Southwest, United) for executive travel arrangements.
    • Manage expense reporting for key executives and assist with scheduling and organizing meetings as needed.
    • Handle print projects, swag orders, and catering for company events and meetings.
    • Participate in internal groups like the Book Club and provide overall support for the needs of the office and team.
  • Event Management:
    • Coordinate and execute internal and external events, including Town Halls, company-wide celebrations, and domestic/international conferences.
    • Work closely with facilities teams, outside vendors, and leadership to ensure event success.
    • Attend events and provide on-the-ground support, ensuring seamless execution and an exceptional experience for attendees.
  • Communications Support:
    • Assist in the execution of internal and external communications, including newsletters (All Things Agora, The Minute), HR updates, and company-wide announcements.
    • Support communications distribution using tools such as email distribution services (BlueShift, Iterable).
    • Collaborate on company rebranding initiatives, assisting with website updates and managing external PR tasks.
    • Monitor and maintain Agora's online reputation across platforms like Glassdoor, Wikipedia, and Google Reviews.
    • Help develop and maintain a social media presence to elevate the Agora brand.
  • Strategic Support:
    • Assist in projects and initiatives that support the business strategy, including research, information gathering, and securing key stakeholders for meetings.
    • Partner with senior leadership on communications and administrative projects, providing high-level support that drives business goals.
Qualifications:
  • Strong written communication skills with the ability to produce professional and engaging content.
  • Experience in event management and project coordination.
  • Proficiency in office management tools and email distribution platforms (BlueShift, Iterable).
  • Detail-oriented with strong organizational and multitasking abilities.
  • Positive, proactive attitude and the ability to work independently with minimal supervision.
  • Desire to grow into a leadership role in communications or office management.
Compensation Range: $45,000 - $55,000
