Job Description:
The American InterContinental University System (or AIUS or the System) is composed of three member institutions: American InterContinental University (AIU), California Southern University (CalSouthern), Trident University International (Trident), as well as DigitalCrafts which offers technology bootcamps. AIUS is committed to providing innovated and industry-focused learning to diverse student populations through online, campus-based, and blended classroom formats.AIUS is seeking a Communications Specialist to develop, support, and deliver communications internally and externally forall entities and brands within the System, while supporting leadership initiatives as needed. The individual will serve as a multi-functional player on the System team with a range of responsibilities spanning across project management and varied communications activity. The Communications Specialist will have an understanding of AIUS's audiences and will develop communications strategies to engage and inform each audience in a manner which advances the goals of the System. This position will serve as an internal communications liaison with all departments for internal and corporate communications, as well as a brand and messaging advocate for external recipients. This position will serve a wide range of stakeholders including System executive leadership, faculty, students, staff, alumni, organizational partners, and prospective learners. The job is currently remote with occasional travel required to support meetings and events.Principal Duties & Responsibilities
  • Manage internal and System-wide communications to keep staff and faculty informed.
    • Facilitate, edit, and send System-wide and member institution announcements.
    • Work with member institutions to develop, gather, edit, and disseminate recurring newsletter highlighting events, accomplishments, and updates.
    • Post System news on internal sites as needed.
    • Work with a team to gather and prepare for quarterly all-hands meetings.
  • Work with departmental leaders to assist with the writing, editing, coordination and distribution of student and prospective student communications as needed, including, but not limited to newsletters, blogs, mass emails,
  • website updates, web events, etc., as well as student/faculty portal communications including announcements, overlays, push notifications, and tool tips.
    • Proficiency in Clearslide, MailChimp, and/or Hubspot preferred.
  • Ensure all System/member institution communications
    • are consistent in look and feel, adhering to brand and style guides
    • incorporate the voice of the institution
  • Review System- and member institution-wide communications for redundancies, to streamline opportunities and/or retire certain communications (SharePoint, LibGuides, catalogs, websites, etc.).
    • PowerPoint slide editing/refinement, meeting invitation mailings, etc.
  • Assist with survey creation and dissemination as needed.
    • Survey Monkey and/or Qualtrics knowledge preferred.
  • Monitor various inboxes and send responses utilizing appropriate resources, or distribute as needed to appropriate points of contact.
  • Develop and maintain annual communications calendar and track/report progress to these dates and deliverables.
  • Develop and maintain communications request and deployment SOPs.
  • Consistently demonstrate ability to consider communications needs as a whole when developing and optimizing strategies.
  • Maintain and update communications materials and reporting documents, audience mass email lists, and departmental archives.
  • Oversee departmental directories/contacts; coordinate and write corporate bios.
  • Serve as main point of contact for creation and maintenance of System-wide resources (internal and student-facing).
  • Support special projects as requested by System leadership.
  • Assist with events, meetings, accreditation visits, and graduations. Travel up to four times annually to support System events.
  • Manage various projects and duties as needed.
Knowledge, Skills and Abilities, Competencies
  • Strong written and verbal communications, with excellent attention to detail
  • Excellent proofreading abilities
  • Ability to effectively present information in a concise manner
  • Ability to work collaboratively with strategic direction and implement designated tasks independently.
  • Proficiency in Microsoft Office Suite, including Publisher (or similar platform such as InDesign)
  • Proficiency in Clearslide, Hubspot, and/or MailChimp preferred
  • Survey Monkey and/or Qualtrics knowledge preferred
  • Experience in Canva and Adobe Photoshop a plus
  • Ability to multi-task, prioritize and manage multiple projects
  • Skill for getting things done quickly without sacrificing quality, ability to prioritize for top impact
  • Strong organizational, time management, and logical + creative thinking skills
  • Ability to identify and deliver upon clearly articulated performance metrics
  • Willingness to learn and quickly apply newly acquired knowledge
  • Excellent interpersonal skills to interact with all departments as needed
  • History as an effective self-starter and must be comfortable working with limited guidance
  • Possess the skill to handle a variety of quick-turn requests across a variety of channels while maintaining composure and meeting the objective/goal.
  • Ability to develop and cultivate relationships with key stakeholders and lead cross-functional teams

Education and Experience: Minimum
  • Bachelor's degree in a related field
  • 2-3 years in communications arena or related experience
Education and Experience: Preferred
  • Bachelor's degree in Communications, English, Marketing preferred
  • 5 years of experience in higher education internal communications
