Summary of Job Duties:

The Communications Specialist reports to the Chief Communications and Marketing Officer and supports the financial and business operation including deposits, budget reconciliations, purchase and payment requests, p-cards, travel reimbursements, etc. This position also serves as a support member of the MarComm team by assisting with meeting logistics, calendar coordination, supply management, and engaging with office and campus visitors. This position is governed by state and federal laws and agency/institution policy.

Qualifications:

Required Education and/or Experience

* Associate Degree with 2 years of office support experience or a bachelor's degree from an accredited institution.

Preferred Education and/or Experience

* Experience in support roles in Higher Education/Non-profit preferred;

* Experience working in an ERP such as Workday or Banner for budget management;

* Experience with purchasing and travel cards;

* Experience with project management software.

Job Duties and Responsibilities

* Complete purchase payment requests, p-card transactions, travel reimbursements, deposits, etc. to ensure bills are paid and daily operations are not impacted;

* Properly logs purchases and requests for purchases in Workday;

* Provide updated reports regarding the status of purchases and department spending to help monitor the department budget;

* Coordinate preparation and communication of meetings, lunch and learns, and other communication for MarComm;

* Provide administrative, operational, and organizational support by managing calendars and scheduling meetings;

* Organize and prepare for meetings, including gathering documents, setting up virtual meetings, taking and distributing minutes, and recording action items;

* Provide support to team members by entering projects into the project management software;

* Answer telephone calls, greet guests, and respond to emails upon request;

* Requisition supplies, printing, maintenance, and other services;

* Perform other job-related duties as assigned.

Knowledge, Skills, and Abilities

* Ability to work collaboratively with students, faculty, staff, and community members;

* Strong written, verbal, and organizational skills;

* Excellent customer service skills with the ability to always maintain a positive attitude;

* Experience with Microsoft Office or Google Workspace including spreadsheet, document, and presentation software.;

* Multi-tasking ability with the capacity to juggle projects and prioritize as needed;

* Strong business acumen and knowledge of how an office should operate.
