Community Engagement and Events Specialist
ALFA is hiring a results oriented Community Engagement and Events Specialist to promote our growing services and work towards our vision of “create a future free of harm caused by HIV, STIs, viral hepatitis and drug use”. Purpose: Planning and successfully executing ALFA's fundraising events and cultivating relationships with community partners.
Job Summary: Working with staff, Board of Directors, community partners, vendors, etc. responsible for planning and executing special projects, primarily fundraising events, to generate revenue and support ALFA's mission. Other main duties include acting as a staff liaison to BOD committees, and represent ALFA in a variety of venues to cultivate relationships with community patterns, future donors and volunteers.
Due to COVID-19 precautions, employees will be expected to follow safety protocols regarding cleaning, social distancing and wearing a face covering when deemed necessary.
Qualifications:
- Bachelor's degree in Marketing, Events Management or related field or equivalent education and experience
- 2+ years of experience in event planning, implementing and marketing
- Excellent communication, public speaking and writing skills
- Ability to work with people at high risk of HIV, including people who use drugs, LGBTQ+ community, minority populations, and others
- Ability to provide compassionate services guided by harm reduction principles
- Availability to work evenings and weekends as needed
- Ability to thrive in a fast-paced environment and remain flexible with changing directions and deadlines
- Strong project management and organizational skills, with the ability to prioritize tasks and meet deadlines
- Motivated to learn new skills
- Valid driver's license and vehicle liability coverage
- Proficiency in Microsoft Office applications
- Strong attention to detail, including grammar and spelling
- Goal-oriented and self-motivated
- Acceptable driving record and criminal background check
- Completed covid-19 vaccination series

Core Duties:
Community Engagement
Staff liaison to Board of Directors Committees
- Plan meetings for a variety of committee meetings
- Take notes
- Develop timeline and action items
- Monitor progress
Volunteer Coordination
- Recruitment, training, communications, hour tracking
Community representative
- Represent ALFA at various community meetings with a clear understanding of ALFA's history and services provided
- Attend local networking meetings (e.g., local Chambers of Commerce) and follow up to make connections with strategic partners.
- Creating strategic community partnerships with other organizations that serve our target audience to arrange on-site learning events at the partner's facility.
Events
- Oversee planning and implementation for three signature events and other ad hoc events; communicate with event committees
- Cultivate relationships with possible sponsors
- Serve as a liaison between facilities and event participants as manager and host of event.
- Oversee all on-site logistics during events, including registration, guest services, and troubleshooting any issues that may arise.
- Lead ALFA Team with check-in and check-out during on-site/off-site events
- Coordinate and collaborate with staff and volunteer teams to ensure everyone is aligned with event goals and timelines.
- Coordinate and collaborate with performers and vendors to ensure a successful event
- Communicate with event registrants as required
- Understand and manage budgets for events
- Analyze key performance indicators and use the insights to improve future events.
- Assess event plans and strategies in alignment with the organization's goals and objectives and provide feedback to the leadership team.
- Manage event calendar by scheduling collateral requests, and event messaging.
- Draft and send event communications (Save the Dates, Invitations, Know Before You Go, etc.) in line and on-brand with the client organization
- Possess a general understanding of basic A/V functions and needs
- Build and test event registration websites (Eventbrite, Network For Good))
- Build and test mobile event apps
Marketing
- Arrange for marketing materials to be created, printed, mail materials, and deliver or post materials at local venues.
- Participate in and assist with the coordination of promotional activities
- Taking pictures, videos, and client testimonials, and posting assets as Social Media content
- Standardize and plan materials for outreach events

This position is non-exempt from overtime compensation.
