Position Overview

Butler University's Compass Center seeks a creative, organized, and dynamic Administrative Assistant. This position is a new opportunity on Butler's campus as we seek to simultaneously support the growing impact The Compass Center offers in support of religious and secular diversity on Butler's campus, while also furthering the reach of our public-facing religious diversity and inclusion programming. This part-time position will engage creativity for communication and outreach while also streamlining internal fiscal and operational processes for the daily running of The Center.

The Administrative Assistant for The Compass Center at Butler University is an integral contributor to the mission of The Compass Center. As part of the Division of Diversity, Equity, and Inclusion, The Compass Center is on campus to provide support for faith and secular student communities, promote interfaith engagement, facilitate the exploration of meaning and purpose, and provide wellbeing resources through spiritual life. The primary role of the Administrative Assistant is to support the internal and external communication of programming, financial processing, supply ordering, meeting scheduling, managing a portion of day-to-day needs, and event planning along with logistical support for Compass Center programs.

More specifically, the Administrative Assistant will provide support to flagship public-facing programs like the Series on Religion and Society and the New View Film Series while also contributing to communications and logistics for student-facing programs related to interfaith events, student organization programs, Muslim Life programming, Jewish Life programming, and Compass Center Scholars events. The Administrative Assistant will oversee process-oriented functions of The Compass Center including, but not limited to, the payment of vendors, processing contracts, arranging travel/lodging for speakers, scheduling among partners, and responding to general inquiries. The Administrative Assistant will report to the Assistant Director of The Compass Center.

This is a 9 month, part-time position working 15-20 hours per week throughout the academic year.

Responsibilities

* Contribute to the University's priority of creating an intentionally diverse, inclusive, and equitable learning environment, and more specifically to The Compass Center's mission of inviting all students of faith and secular commitments to explore faith/secular diversity, interfaith engagement, meaning and purpose reflection, and spiritual life resources.

* Support campus and public-facing events in terms of booking space, placing catering orders, arranging travel/lodging for guests, and communication around contract approval and execution

* Utilize campus systems to complete payment of vendors and honoraria, scheduling among partners, manage Center supplies, and maintenance work orders

* Execute necessary marketing/communication and outreach projects related to The Compass Center's public facing programs, namely the Series on Religion and Society, A New View Film Series, and the Multifaith Baccalaureate Service. This includes relating to external newsletters, university calendars/promotion, website updates, regional partner connections, etc.

* Serve as Priority Approver contact for scheduling within The Compass Center.

* Work with Campus Impressions for print orders.

* Assist with on-site presence to respond to inquiries, represent the Center, setup and cleanup of departmental events.

* In some cases, assist with planning and creativity around events, campus education, and student engagement.

Required Qualifications

The successful candidate should be a collaborative and organized professional with an ability to prioritize multiple tasks at one time, communicate effectively with colleagues, partners, and external audiences, and streamline administrative and operations processes.

* Bachelor's degree

* Minimum of two years of working directly in administrative roles

* Demonstrated commitment to diversity, equity, and inclusion as well as an appreciation for religious and secular pluralism

* Experience working directly with and supporting the needs of an active staff team

* Ability to establish and maintain strong, collaborative working relationships/partnerships utilizing problem-solving skills

* Experience communicating effectively with young adults, as well as faculty/staff and prospective student families

* Experience navigating a high level of supporting logistics

* Creative, thoughtful, and collaborative contributor to teams

Preferred Qualifications

* Experience working in higher education, 1-2 years preferred

* A demonstrated awareness or knowledge of different religious/secular identities, cultures, and/or communities.
