Job Title: Compliance Specialist/Office Coordinator
The Compliance Specialist/Office Coordinator works as a full-time employee of Zeiders Enterprises, Inc. (Zeiders) at the corporate office in Woodbridge, VA. Under the direction of the Director of Compliance, the Compliance Specialist/Office Coordinator is responsible for supporting the daily administration activities of the Ethics and Compliance Program and functions of the Corporate Office. The Compliance Specialist/Office Coordinator will develop internal company and vendor relationships and become an ambassador for Zeiders' culture.
Compliance Responsibilities
* Assist the Director of Compliance with the day-to-day administration of the Ethics and Compliance Program.
* Participate in the continuous risk management process; conduct risk assessments and periodic compliance reviews as scheduled, required, and/or directed.
* Support the monitoring and cataloging of laws and regulations which may affect the company's policies and practices.
* Assist the team in carrying out compliance monitoring activities across various internal departments, including in-depth compliance internal audits.
* Compile monthly and other periodic status reports related to compliance training completion rates, and other ethics and compliance metrics.
* Help coordinate appropriate ethics and compliance training, communication, and education programs for all employees; ensure and understand the company's commitment to comply with all laws, regulations, company policies, and applicable contract requirements; help assess the need for additional training, communication, and education.
* Research issues regarding state and federal legislation and regulations. Provide recommendations to improve compliance controls, conduct analyses, and create reports to help improve the company's compliance.
* Coordinate policy reviews and ensure approved documents are updated and accessible.
* Facilitate VISA and work permitting processes in coordination with Contract Operations.
* Assist in the coordination and preparation of company-wide certification programs.
Office Coordination Responsibilities
* Develop and maintain Corporate Office administrative support and procedures.
* Develop solutions to administrative business challenges; Gather pricing information with suppliers and vendors (e.g. office supplies, express package services, etc.)
* Manages non-IT related office equipment (i.e. postage machine, coffee maker, etc.); Maintain updated contact lists and rosters.
* Monitor budget expenditures; reviewing invoices are properly coded to accounts and prepare reports as requested by the Director of Compliance.
* Provide excellent customer service to visitors and internal clients both over the phone and in person at front desk.
* Receives, sorts and forwards' incoming mail. Coordinates the pick-up and delivery of express mail services (FedEx, UPS, etc.) in coordination with internal Departments.
* Manage conference room calendars; de-conflict scheduling issues and provide set up and breakdown when needed; Provide surge support to other departments and contracts as directed by the Director of Compliance.
* Assist in general facility management, including participation in key property management meetings and projects.
Education and/or Experience Requirements
* Bachelor's degree with 1-year relevant compliance, specifically government contracting experience OR Associates with 3 years relevant compliance, specifically government contracting experience OR 5 years relevant compliance, specifically government contracting experience
* Professional certification such as a Certified Compliance and Ethics Professional (CCEP) desirable, but not required.
* Must be a U.S. Citizen and able to successfully pass a U.S. Government security investigation.
* Proficiency using Microsoft Office applications, including Excel, Word, and PowerPoint.
Other Skills and Abilities
* Basic understanding of Government Contracting regulatory compliance, including the FAR, DFARS, U.S Sentencing Guidelines, and DOJ Guidance.
* Excellent analytical skills with an eye for detail.
* Experience with compliance and regulatory reporting and policy writing, or other applicable technical writing.
* Strong oral and written communication skills.
* Able to work within a rapidly changing environment.
* A willingness and desire to develop with the role.
* Self-motivated with the ability to multitask and manage multiple priorities.
* Ability to maintain confidentiality at the highest level.
