The Concierge Associate plays an important role in supporting the patients of the Neurological Surgery Department for the University of Miami Miller School of Medicine by facilitating medical care for patients who ask for additional help navigating the clinic. The Concierge Associate works to plan and execute stewardship activities designed to establish donor connections with the institution and helps to deepen engagement. The incumbent communicates with the President's office, Dean's office, trustees, School of Medicine department chairpersons, faculty, and research staff.
CORE JOB FUNCTIONS - Act as contact/liaison for patients to ensure prospect strategies are advanced, provide expedient assistance to requests and that appropriate follow-up with constituents is successfully completed.
- Act as contact/liaison for key donors and prospects to ensure prospect strategies are advanced, provide expedient assistance to requests and that appropriate follow-up with constituents is successfully completed.
- Manages requests for healthcare assistance, both independently, and on behalf of physicians and development colleagues providing strong customer service that helps yield additional grateful patient referrals and ultimately new gifts.
- Coordinates the full cycle of medical services for international or VIP patients of the Neurological Surgery department, gathering all pertinent data from patient, referring physicians, and payers.
- Works collaboratively with Development Officer to identify new prospects through the daily wealth screening logs.
- Works collaboratively with UHealth Champions to assist in coordinating medical services for VIP patients.
- Organizes transportation and lodging for patients transferring to or seeking services at UM facilities.
- Works closely with Neurological Surgery clinical operations team to ensure patients have scheduled appointments, are fully registered, and insurances are verified.
- Provides stewardship by following up with patients and non-contracted payers.
- Troubleshoots any problem independently and expeditiously.
- Draft processes, protocols, and procedures to ensure efficient operations and working relationships with the Neurological Surgery team and other staff.
- Assists patients with navigating University of Miami Health System, as needed.
- Creates agendas for patients with complex appointment schedules.
- Answer phones and provide general office support.
- Adheres to University and unit-level policies and procedures and safeguards University assets.

DEPARTMENT ADDENDUMDepartment Specific Functions- Meet, and/or exceed the program and department's fundraising goals and targets.
- Create and execute strategic plans to meet the organization's fundraising and financial goals.
- Identify and cultivate donor relationships: build and maintain relationships with individual patient, their families, and/or other potential donors.
- Conduct concierge pre-op and post-op calls to potential donor patients
- Ensure potential donors receive concierge and white-glove service
- Meet periodically with the Sr. Director of Development and their team. Participate in meetings with program director and provide updates on fundraising activities.
- Work with other internal teams: collaborate with other departments to ensure concierge service is met.
- Track and analyze fundraising metrics: monitor progress towards goals and analyze fundraising data.
- Prepare reports: generate reports for leadership on fundraising performance and donor activity.
