Confidential Executive Assistant - OIACER
POSITION DETAILS
In addition to the duties in the CUNY Title Overview below, the Confidential Executive Assistant, reporting directly to the Senior Vice President (SVP) for the Office of Institutional Advancement, Communications & External Relations (OIACER) at The City College of New York, will play a key role in keeping strategic programs, partnerships, operations, outreach and board-related activities on schedule and aligned with the Senior Vice President's priorities.
The Confidential Executive Assistant will
* Manage projects, ensuring and evaluating their implementation and success; run point on operational issues under tight timelines on behalf of the SVP; as well as research and prepare program documentation for the SVP.
* Manage the SVP's calendar, which consists of strategically scheduling donors, elected officials and other external relations partners and on-campus and team meetings for OIACER.
* Plan, implement and evaluate methods, policies, procedures and systems to best support the SVP; preparation of briefings, presentations, correspondence, and confidential material under tight timelines; planning and attending key meetings with both internal and external stakeholders.
* Interact with high-level executives both inside and outside the College, communicating information on behalf of the SVP, and developing methods to follow up on appropriate items in order to best support the SVP.

QUALIFICATIONS
Bachelor's degree and four years' related experience required
PREFERRED QUALIFICATIONS
+ Excellent organizational skills demonstrated by experience working closely with a senior level manager, detailed experience with project management needs of a busy office and records management
+ Two years or more of experience supporting an executive as a confidential assistant and maintaining a calendar for an executive, including extensive travel planning
+ Proficiency with Monday.com, Microsoft Outlook, Google Calendar or other calendar management platforms
+ Strong verbal and written communication skills
+ Experience interacting with donors, elected officials and C-suite level stakeholders
+ Experience in higher education or other large, complex organization
+ Experience preparing presentation materials using PowerPoint, Canva, Prezi or other visual presentation software
+ Experience managing projects using Asana, Trello or other project management tools
+ Working knowledge of Raiser's Edge is helpful
CUNY TITLE OVERVIEW
Supports a Campus or University Executive as a confidential assistant, organizing and supervising unit activities.
* Creates appointment and meeting schedules, arranges meetings, and prepares for a variety of special events; maintains an ongoing calendar of reports, deadlines, and key dates and incorporates these into a schedule
* Coordinates Executive communications, including those requiring a high degree of sensitivity; responds to public inquiries as well as requests from within the Campus/University community
* Organizes, creates, and distributes key, complex management reports with a high degree of accuracy
* Organizes, manages, and tracks written and email correspondence, maintaining logs and records of follow-up activities
* Procures required internal and external resources and services and manages their utilization
* May supervise office staff, performing basic Human Resources functions such as recruiting and interviewing
* Participates in special projects and efforts to improve unit effectiveness
* Performs related duties as assigned.
This position is excluded from union representation.

COMPENSATION AND BENEFITS
Salary Range: $82,928 - $90,375. Salary commensurate with education and experience.
