Summary

The Construction Administrative Assistant plays a crucial role in supporting business activities by performing and coordinating various tasks, ensuring the business's and its construction projects' smooth functioning and success.

Duties and Responsibilities

* Project startup and closeout responsibilities include:

* Process front-end documents such as job startup forms, Certificate of Insurance (COI), W9, bonds, Site Specific Safety Plan (SSSP), and Notice of Commencement (NOC).

* Assemble and submit submittal package for contracted product. Send to GC along with other requested preconstruction information.

* Submit closeout warranties for completed projects upon request, utilizing the information provided on our template.

* Coordination of materials and inventory tracking responsibilities include:

* Assist the Project Manager with maintaining upcoming work schedules, material orders, and documentation control.

* Maintain an updated inventory of less obvious consumables such as ISO strip, acrylic sealers, latex powder, tape, and staples.

* Notify the Division Manager promptly when supplies are running low and new items are required.

* Gather material usage data from the superintendent for the previous week and forward it to the accounting department for further processing.

* New hire orientation/Human Resources Assistance

* Conduct new hire orientation, ensuring all new employees complete all necessary paperwork accurately and provide required information.

* Promptly submit this information to HR in Grand Rapids for processing.

* Coordinate with Human Resources team in Grand Rapids on any employee-related questions/situations.

* General

* Assist Business Development team with maintaining the Unanet database.

* Tracking training/safety records.

* Pricing change orders/additional costs.

* Maintain an updated inventory of primary goods as well as less obvious consumables.

* Maintain relationships with and contact with the landlord and any vendors used for various office activities (cleaning company, post office, etc.).

Work Environment/Physical Demand

This position primarily operates within an office environment but may occasionally require travel to attend meetings or visit project sites as necessary.

Position type and expected hours of work

This is a full-time office position. Typical hours will range from 35-50 hours per week and are subject to change.

This position requires occasional travel to local job sites.

Required Experience, Education, and Qualifications

* Valid drivers license

* Must have reliable transportation to the workplace(s)/ job location(s).

* Ability to pass drug screening.

* Must be able to work in the United States without corporate sponsorship now and within the future.

* Experience in the construction industry or some working knowledge of various construction disciplines and how to apply them.

* Practical written and verbal communication skills

Preferred education and experience

* Bachelors degree in construction management, Engineering, or Business Management or 3 years of experience in a similar role in the construction industry.

* Experience with the following software: Microsoft Excel, Teams, TeamUp, BlueBeam, Outlook, ProCore

* Ability to read plans and do take-offs.

* Bilingual (Spanish/English)
