Position Summary:The Construction Documentation Specialist will play a critical role in managing and organizing all project-related documentation, ensuring that all records are accurate, up to date, and easily accessible. This individual will collaborate closely with project managers, engineers, and other team members to ensure smooth project execution and compliance with all regulatory and company standards.

Key Responsibilities:

  • Document Management: Organize, maintain, and update construction project documents, including contracts, permits, blueprints, change orders, safety reports, and inspection records.
  • Compliance and Quality Control: Ensure all project documentation complies with industry standards, company policies, and regulatory requirements.
  • Filing and Retrieval: Implement and maintain a systematic filing system (both physical and digital) for project documentation, ensuring quick retrieval for team members and stakeholders.
  • Project Reporting: Assist project managers by preparing and submitting required reports, summaries, and documentation for internal and external reviews.
  • Collaboration: Work closely with project teams, subcontractors, and external partners to collect and manage all necessary documents related to construction projects.
  • Audits and Inspections: Assist in preparing for audits and inspections by ensuring all documentation is up to date and readily available for review.
  • Software Management: Utilize document management software to track, store, and retrieve project-related documentation, ensuring version control and document security.

Qualifications:

  • Bachelor's degree in construction management, business administration, or related field (preferred).
  • Minimum of 2-3 years of experience in construction or document control.
  • Proficiency in document management systems and construction software (e.g., Procore, Bluebeam, Autodesk).
  • Strong organizational skills with a high level of attention to detail.
  • Knowledge of construction processes, documentation requirements, and regulatory standards.
  • Excellent communication and teamwork skills.
  • Ability to manage multiple projects and deadlines in a fast-paced environment.
