Description
The Operations Manager oversees and directs all aspects of facilities maintenance and operations and lead their team through their scheduling and project follow-up. This position requires a hands-on manager who will complete maintenance items and supervise others to do the same. The Operations Manager knows and trains all subordinates as to their job and monitors the execution of their job to ensure consistency, order, and quality.
Requirements
The Operations Manager responsibilities include:
- Understanding Routine HVAC, electrical, mechanical, plumbing, carpentry, painting, and general maintenance
- Manage various projects and workers on a continuous basis.
- Schedule all projects utilizing both employees and subcontractor network to meet deadlines
- Manage, maintain, and expand the subcontractor network
- Aptitude for competent on-site decision-making and team leadership.
- Running of weekly Monday AM meeting, where schedules are delivered to team members and questions addressed.
- Must have basic computer skills, Microsoft Word, and email knowledge required
- Ability to troubleshoot and provide maintenance and repair direction
- Oversee the handling of all service calls within a timely manner and to the satisfaction of the tenant
- Ensures that the company's quality standards relating to Common areas and Tenant suites is maintained at all times. Take action when the standards are not being met
- Visits tenants and submits building walkthrough report monthly
- Communicates with the office manager to schedule subcontractors and employees
- Knowledge of AppFolio and SmartSheets is a plus

Requirements:
Responsibilities
- Prepare and execute all Subcontract Agreements, Purchase Orders, and Contractor Service Requests
- Support the project start-up and close-out processes on each job
- Maintain all job folders within designated file structures
- Coordinates supplies needed for job sites
- Interact with internal team members, subcontractors, clients, and vendors
- Manage various projects and workers on a continuous basis
- Manage, maintain and expand Subcontractor network
- Running of weekly Monday AM meeting where schedules are delivered to team members and questions addressed
- Responsible for contacting subcontractors for documentation follow-up and track all project documentation on tracking spreadsheet
- Schedule all projects utilizing both employees and sub-contractor network to meet deadlines
- Communicates with office manager to schedule subcontractors and employees
- Coordinate with office manager to deliver any CSR or signed contracts to any Sub
- Follow up on the completion of all work orders
- Follow up on the scheduling of all tenant alterations
- Follow up on the scheduling and completion of all model creation.
- Follow up on the scheduling and completion of assigned cap x projects.
- Follow up with all subs to insure: proper paperwork is in place and the timely completion of their work
- Travel is required with mileage reimbursement
Skills and Abilities:
- Aptitude for competent on-site decision-making and team leadership
- Understanding Routine HVAC, electrical, mechanical, plumbing, carpentry, painting, and general maintenance
- Ability to utilize software programs and assist the Operations Manager, Building Managers and contractors with administrative tasks such as document creation
- Organizational skills in order to juggle multiple projects with accuracy and timeliness
- Strong interpersonal skills
- Ability to work independently
- Able to lift, squat, and carry up to 25 pounds, infrequently
Education and Experience:
- High School Diploma or equivalent
- Proficient in the use of technology and Microsoft Office (Word, Outlook, Excel), SmartSheets and HelloSign
