We are seeking a highly organized and detail-oriented Project Coordinator to support the successful execution and delivery of construction projects. The Project Coordinator will work closely with the project team to ensure all aspects of the project, including budgeting, scheduling, compliance, documentation, and communication, are handled efficiently. The ideal candidate will have experience in construction project management, attention to detail, and the ability to manage multiple tasks simultaneously.

Key Responsibilities:

  • Project Setup & Coordination:
  • Collaborate with the project team to define roles and responsibilities at the start of each project.
  • Attend and contribute to Kick-Off Meetings.
  • Set up new projects using tools such as Info Sheets, Budget Templates, or Project Automation.
  • Work with team members to ensure proper project setup.
  • Budget & Financial Oversight:
  • Analyze project budget templates, identifying errors and uploading accurate budget data.
  • Maintain accurate project financial data, including start/end dates, project team, contract values, etc.
  • Approve subcontractor invoices and issue subcontract change orders as needed.
  • Trade Partner & Compliance Management:
  • Add new Trade Partners and ensure their compliance by managing prequalification and required documentation.
  • Ensure all subcontractors adhere to compliance requirements before commencing on-site work.
  • Documentation & Contract Management:
  • Maintain accurate project documentation, including contracts, change orders, and project files.
  • Create, issue, and manage subcontracts and potential change items.
  • Draft and send Owner Pay Applications to designated owners.
  • Analyze and log Preliminary Notices and process lien waivers through CMIC and Textura.
  • Generate and distribute meeting minutes and assist with project forecasting.
  • Project Tracking & Risk Management:
  • Monitor project progress, identifying and escalating potential risks.
  • Process submittals and RFIs, ensuring timely responses and resolutions.
  • Maintain and update project logs, including drawing logs and change order tracking.
  • Project Closeout & Finalization:
  • Assist in preparing closeout packages for owners.
  • Close subcontracts and ensure all project deliverables are completed and documented.
  • Oversee project closure, ensuring all requirements are met and the project is properly archived in applicable systems.
  • Additional Duties:
  • Order plans and materials as needed.
  • Manage eTIME and ensure timely processing of time entries.
  • Create directories in Procore and ensure all project data is organized.

Qualifications:

  • Bachelor's degree in Construction Management, Business Administration, or a related field (preferred).
  • 2+ years of experience in project coordination, preferably in the construction industry.
  • Proficiency in project management software, such as Procore, CMIC, and Textura.
  • Strong attention to detail and ability to manage multiple tasks simultaneously.
  • Excellent communication and interpersonal skills.
  • Ability to work independently and as part of a collaborative team.
  • Knowledge of construction industry standards and compliance regulations is a plus.

Work Environment:

  • Office-based, with occasional site visits.
  • Must be able to handle multiple projects and meet deadlines in a fast-paced environment.
