South Carolina is making our veterans a priority for employment in state agencies and institutions.Veteran Preference Statement: South Carolina is making our Veterans a priority for employment in state agencies and institutions.Job ResponsibilitiesThis position is responsible for the administrative activities of the Continuing Education division of the college, including scheduling, ensuring state licensure requirements, accreditation, and required paperwork is current, keeping accurate departmental budgeting, and preparation of the annual Continuing Education catalog.Job Responsibilities of the Administrative Assistant
  • Serves as the point of contact for the Continuing Education Department. Prepares all documentation (correspondence, purchase requisitions, work orders, book orders, etc.). Schedules appointments, assists callers, and maintains calendars. Maintains supplies and orders supplies as needed. Assists with any student issues. Participates in meetings in the absence of the Continuing Education supervisor. Sets up and maintains departmental files.
  • Ensures that documents related to state licensure requirements, accreditation, and other required paperwork are current such as the Commercial Driver's License (CDL) program to include all student files and processes, score submissions, verifications, SCDOT documentation, WIOA vouchers, and other processes related to this program.
  • Ensures classes are entered in Colleague for accurate student registration. Prepares and publishes instructor schedules. Responsible for assisting the Continuing Education supervisor in determining course costs, analyzing data, and coordination of instructional material. Manages assigned programs including analyzing costs to optimize revenue generation, coordination of student and instructor class materials, and classroom location to promote quality of programs and revenue generation.
  • Completes Temporary Employment Agreements for Continuing Education Instructors and ensures they are submitted in a timely manner for payment. Responsible for maintaining departmental budgets by monitoring and making budget transfers. Ensures timely submission of credit card receipts. Ensures departmental budget codes are accurate before submitting to the Business Office.
  • Assists with marketing programs to include aiding the Continuing Education supervisor with administrative office tasks in the development of the yearly continuing education catalog that includes both workforce and personal interest items.
  • Performs other duties as assigned.
Minimum and Additional Requirements State Minimum Requirements: A high school diploma and work experience that is directly related to the area of employment. A bachelor's degree may be substituted for the related work experience. Must have a valid driver's license. NETC Preferred Requirements: A bachelor's degree in related area and knowledge of Colleague/Datatel Accounting System. Preferred Qualifications Knowledge of agency policies, procedures, rules, regulations and program services. Knowledge of policies, procedures, rules and regulations related to the specific administrative function. Knowledge of modern office practices, procedures and equipment. Ability to coordinate diverse administrative functions. Ability to establish and maintain effective working relationships. Ability to meet deadlines effectively. Ability to communicate effectively and deal effectively with the public in handling inquiries and communicating information. Additional Comments Under general supervision, this position is responsible for the administrative activities of the Continuing Education division of the college including state licensure requirements, accreditation, and other required paperwork are current, ensuing departmental budgeting is accurate, and preparation of the annual Continuing Education catalog.Must be able to lift and carry files, books, and reports weighing up to 25 lbs. Must be able to sit, stand, and walk for intermittent periods of time. Must be able to reach, bend and twist at the waist to perform filing, desk work, and operate general office equipment. Minimal overnight travel may be required. Must attend mandatory college events as scheduled.The work environment requires professionalism in marketing programs and services, organizing response to community needs in a timely manner. Travel to meetings/conferences/workshops out of town.
