Job Description:

Contract: 24 months contract with possible extension

Purpose of the Position

  • The Contract Coordinator I will be responsible for creating, negotiating, and implementing consulting and/or promotional speaker contracts in compliance with Client policies and business objectives. This role demands attention to detail, effective communication, and the ability to work under tight timelines. The individual will work closely with internal and external stakeholders, including business units, legal teams, and consultants, to ensure seamless contract creation and management. The position is focused on ensuring compliance with both internal and external guidelines (such as FDA and PhRMA).

Key Responsibilities

1. Contract Creation & Compliance:

  • Responsible for the creation, negotiation, and execution of consulting and promotional speaker contracts, ensuring compliance with Client policies and external guidelines.
  • Ensures contracts are developed, reviewed, and processed in a timely and efficient manner, meeting business needs and maintaining business ethics and integrity.

2. Process Improvement & Standardization:

  • Develop, implement, and educate stakeholders on improved and standardized contracting practices.
  • Actively participate in cross-functional teams to streamline contracting processes and identify innovative solutions for efficiency.

3. Stakeholder Management & Relationship Building:

  • Foster and maintain strong business relationships with internal departments such as Legal, Commercial Operations, Medical Affairs, and R&D.
  • Serve as a point of contact for the assigned therapeutic area globally, ensuring continuous improvement in contract management and consultant interface.

4. Contracting Systems & Tools:

  • Expert in the use of procurement and contract management tools (e.g., SAP, CMS).
  • Proactively manage contracts and collaborate with business stakeholders to address issues, resolve disputes, and ensure smooth operations.

5. Negotiation & Agreement Development:

  • Negotiate contracts with key opinion leaders, consultants, patients, and advocacy groups, ensuring alignment with Client objectives and compliance requirements.

6. File Management & Documentation:

  • Maintain thorough and organized contract records, ensuring accuracy and readiness for audits and compliance reviews.
  • Ensure that contract documentation is consistent with all business processes and regulatory standards.

Qualifications

  • Education: BA/BS preferred or equivalent work experience.
  • Experience: 2-4 years of experience working with contracts, preferably in the healthcare or pharmaceutical industry.

Skills:

  • Ability to independently review, process, and negotiate contracts.
  • Strong organizational skills, attention to detail, and ability to multitask in a fast-paced environment.
  • Ability to interface effectively with all levels of employees, external stakeholders (HCPs, non-HCPs, and patients), and regulatory bodies.
  • Proficiency in MS Word, Excel, and Smartsheet.
  • Strong oral and written communication skills.
