Position Title:Facilities and Transportation Coordinator Employee Type:Full Time/Regular Supervisor Title:Center Director or Manager of Facilities Division:Head Start Summary The Facility Maintenance and Transportation Coordinator is responsible for providing safe and healthy facilities that meet all Federal, state and local regulations as is crucial to the operation of a Head Start/Early Head Start program. Under the supervision of the Program Director and/or Facilities Manager, you will ensure that all Head Start/ Early Head Start facilities & buildings meet Federal, state and local licensing requirements pertaining to the type of use and assuring that all required licenses are up to date, leases, contracts and/or agreements for all sites are current with appropriate signatures, oversee the maintenance and cleaning of buildings, vehicles and facilities to ensure that they are clean, safe and in useable condition, and works with outside contractors and service-oriented business as necessary. You will conduct regular health and safety inspections of buildings, playgrounds and vehicles and provides information to the Program Director for reports submitted to chairs of the Head Start Safety Committee. Finally, this position is responsible for maintaining a warehouse of supplies and equipment, inventory control, and distribution of items to Head Start/Early Head Start facilities. As a Save the Children employee who will come in contact with children on a routine basis, you are expected to prevent child abuse in every situation by striving, through mental awareness, good practice and training to minimize risk to children. You must take positive steps to protect children who may be a subject of concern and report and respond to any instance of child abuse and promote training and awareness around all child safeguarding obligations. What You'll Be Doing (Essential Duties)
  • Work with Fiscal Coordinator to utilize a centralized purchasing system to support facilities with items such as equipment, supplies, repairs and maintenance; work with Fiscal Coordinator to develop a system for distributing needed items and coordinate moving of sites, inventory, and supplies as necessary.
  • Maintains an established a warehouse for storage of program equipment and supplies for all sites, including items that can be requisitioned by program staff.
  • Maintain an accurate inventory of all program supplies and equipment in centers, offices and warehouses.
  • Ensure implementation of systems and schedules for building security and maintenance.
  • Ensure safety and functioning of all Head Start facilities and ensure compliance with ADA, OSHA, and other laws and regulations.
  • Coordinate with site supervisors to ensure landscaping needs such as mowing lawns, trimming shrubs, sweeping porches, steps and parking lots are maintained and/or monitored.
  • Suggest changes in working conditions and use of equipment to increase efficiencies.
  • Maintain/ensure fire alarm and burglar alarm systems (as appropriate) are in good working order.
  • Ensure that all inspections, licenses and contracts are current and on file.
  • Request tools, equipment, and supplies, ensuring budgetary control.
  • Utilizes an established system to make regular health and safety inspections of all sites and to quickly resolve any identified site issues, including the safety of playgrounds, parking lots and other areas used by Head Start staff, children, parents, contractors and community volunteers.
  • Provide input into the hiring and training of custodial, janitorial, and maintenance staff or contractors.
  • Provide input into and recommend training needed to meet the program goals and objectives.
  • Arrange for training on Right to Know and MSDS, and ensure that all sites are in compliance.
  • Perform other duties as may be assigned.
Required Qualifications
  • Minimum High School Diploma, plus at least two years of relevant experience
  • Demonstrated knowledge of general building maintenance, facilities management, and transportation systems.
  • Proven knowledge of local health/safety regulations, ADA and OSHA requirements preferred.
  • Demonstrated ability to communicate and collaborate successfully with individuals and teams at all levels, both internal and external
  • Proven effective communication, problem solving and time management skills.
  • Professional proficiency in spoken and written English
  • Must be available on-call for emergencies.
  • Proven knowledge of the regulations associated with prevention of occupational disease and injury, including the exercise of universal precautions and the prevention of contamination.
  • Proven ability to develop and maintain a system for accurate records.
  • Demonstrated ability to work independently with minimum supervision
  • Proven ability to understand and carry out oral and written instructions.
  • Bilingual preferred (Spanish).
  • Knowledge of the purpose of the Head Start/Early Head Start Program

Physical Requirements related to essential functions: Ability to perform medium to heavy physical work exerting up to 50 pounds of force occasionally, up to 20 pounds frequently and up to 5-10 pounds constantly, performing such activities as sitting, crawling, stooping, kneeling, crouching, reaching, standing, walking, pushing, pulling, lifting and grasping. This also includes some duties that require repetitive action and motion skills, keyboarding and computer use. Clear pre-employment background check requirements, including local, state, and national criminal records check, sex offender registries, employment, and education verifications (including child abuse registry check if required by state regulations) and pass all state and local health requirements required post job offer and prior to employment. This position may require the incumbent to operate a motor vehicle to fulfill certain essential functions of the job. The incumbent should maintain a valid driver's license and remain in compliance with any Save the Children policies pertaining to the safe operation of motor vehicles. Current and former Head Start/Early Head Start parents will receive preference for employment vacancies for which they are qualified. Preferred Qualifications:
  • Demonstrated previous experience with lease management and contracting preferred.
  • Understanding of Head Start Performance Standards and local regulations.
  • Bilingual preferred (Spanish).
  • Knowledge of the purpose of the Head Start/Early Head Start Program
