Job DescriptionPURPOSE OF POSITIONCandidate will be the dedicated Bariatric Program surgical coordinator and will be in alignment with with the ASMBS Bariatric Center of Excellence requirements.AREAS OF RESPONSIBILITIESSurgery AdministrationSUMMARY OF DUTIES AND RESPONSIBILITIESSUMMARY OF DUTIES AND RESPONSIBILITIES:Under the Supervision of the Department Head, the employee will:1. Create the HAR in the EPIC system to commence the procedure approval process.2. Work with the Department of Finance and the patient to troubleshoot issues with insurance, CPT Codes, copayments and financial clearance matters.3. Work in coordination with the OR scheduler, PAT manager, surgical attendings, to ensure that the patient is scheduled for the pre-clearance activities (bloodwork, COVID testing, has the H&P completed, has completed any additional testing required for high risk patients identified through the PAT or patient conditions.) Maintains active and steady communication via telephone, email as needed to move the patient forward.4. Provide accurate COVID testing time frame and location for testing. Ensures patient meets COVID testing requirements according to latest DOH/CDC mandates.5. Keep active communication with PAT staff to report barriers and problems.6. Ability to navigate swiftly through EPIC and other systems needed to collect information for the patient, insurance carrier, etc.7. If and when possible, assist the provider in connecting with the insurance carrier for the peer to peer approval process.8. Assist all Department of Surgery providers with trouble shooting cases that require communication with other providers, medical entities, liaison when needed (collect information, schedule consultations, fax documents, etc.)9. Ensure the patient demographics in EPIC are correct.10. Communicate to the provider on the patient's clearance status or barriers in the patient clearing for the procedure. 11. Work in collaboration with specialty services such as cardiology, pulmonology or other services (PPU, Ambulatory Care) to obtain consults for the patient pending clearance. 12. Collect and distributes appropriate paperwork to internal and external parties to coordinate the process to get the patient to have their surgery performed. 13. Assist in resolving patient issues such as referring to social work prior to the procedure to resolve any transportation issues, reminding the patient that they require an escort after their procedure, inform them they will receive instructions from the Nurse on what to expect. 14. Schedule or coordinates post-op follow up visits with providers and communicates with patient.15. If needed, serve a liaison between referring community physicians or off-site providers and surgical attendings to communicate clinical data, obtain information (medical records, insurance information, etc.) to determine if patient can be scheduled for a procedure. 16. Train or mentor other surgical coordinator(s) if needed.17. Perform other duties and responsibilities as assigned.
Minimum Qualifications1. A Baccalaureate Degree from an accredited college or university in Public Health, Public Administration, Business Administration, Social Work, Psychology or Rehabilitation Counseling, and three (3) years of full-time experience in medically-oriented health care and medical support systems environment, two (2) years of which included experience in an administrative or supervisory capacity in such occupations as physical, occupational, inhalation, speech and audiology therapy or as Medical/Laboratory Technologist, Microbiologist (various specialties), Chemist (biochemist), Radiation and X-Ray Technician or three (3) years of responsible level experience in business management systems or general administration including two (2) years in a supervisory or administrative capacity. 2. A Masters Degree from an accredited college or university in the disciplines listed in (1), and two (2) years of full-time experience as listed in (1), plus one (1) year experience in an administrative or supervisory capacity in occupations as listed in (1); or, 3. A satisfactory equivalent combination of training, education and experience.
