Job Description:

The Coordinating Manager Level B in the Office of Behavioral Health would be part of an administrative support team that works very closely with the behavioral health program(s), quality assurance and fiscal staff in the office to ensure that the office produces timely and high-quality services and deliverables.

Under the direction of the Senior Assistant Vice President and Assistant Director, the Coordinating Manager will provide a wide range of administrative tasks.

General tasks and responsibilities will include:

  • Assist the OBH Leadership Team with answering calls, maintains schedule by setting up meetings and responding to meeting requests, book meeting rooms and support visitors.
  • Provide part-time coverage for the Deputy Chief Medical Officer by answering calls, setting up meetings and responding to meeting requests.
  • Assist OBH staff with meeting planning and preparation, including finding dates/meeting locations, organizing and monitoring registration, preparing meeting materials, food ordering (if necessary), and ensuring adequate A/V and other technological support.
  • Assisting staff with the preparation of written, budget, and contract documents.
  • Assisting with litigation compliance work including the redaction of clinical records.
  • Attend meetings and transcribe meeting minutes and voice recordings as needed.
  • Help maintain office contact lists up to date.
  • Allocates staff on basis of workload, space, and available equipment.
  • As required, consults with medical, nursing and other staff involved in treatment to clarify ambiguities and secure documentation of the records and to secure necessary and timely certification and verification.
  • Supervises the office administration and office record keeping activities of the department.
  • Carry out administrative duties such filing, typing, copying, binding, scanning etc.
  • Assisting staff with the preparation of presentations e.g., (PowerPoint, MS Excel spreadsheet, etc.)
  • Ordering and maintain Par levels of all office supplies
  • Support setup for all OBH events.
  • Other assignments as needed or assigned.

Minimum Qualifications:

1. A Master s degree from an accredited college or university in Public Health, Public Administration, Business Administration, Social Work, Psychology or Rehabilitation Counseling; and

2. Two (2) years of full-time experience in medically-oriented health care and medical support systems environment, one (1) year of which included experience in an administrative or supervisory capacity in such occupations as physical, occupational, inhalation, speech and audiology therapy or as Medical/Laboratory Technologist, Microbiologist (various specialties), Chemist (biochemist), Radiation and X-Ray Technician; or two (2) years of responsible level experience in business management systems or general administration including one (1) year in a supervisory or administrative capacity; or

3. A Baccalaureate degree from an accredited college or university in disciplines listed in 1 above; and

4. Three (3) years of full-time experience, as described in 2 above, including two (2) years of experience in an administrative or supervisory capacity in occupations, as listed in 2 above; or

5. A satisfactory equivalent combination of education, training and/or experience.
