Job Responsibilities: The Coordinator, Administrative Services provides mid-level administrative support to departments within the Division of Administrative Services, with responsibilities primarily to be divided among the Department of Board and House Matters, Department of Officer Services and Governance related activities. This position manages activities relating to the certification and credentialing of delegates and alternate delegates of each year's annual meeting of the House of Delegates. Must Have:
- Bachelor's degree
- Minimum of 3 years of administrative level experience; or minimum 5 years of experience in lieu of degree
- Excellent written/verbal communication and customer service skills
- Proofreading and organization skills
- Ability to multi-task
- Knowledge of preparation of business correspondence, memos, and reports
- demonstrated knowledge of Outlook to schedule meetings, arrange and follow through with meeting arrangements
- Detail oriented, manage multiple projects simultaneously, and meet hard deadlines in a fast-paced environment
- Think creatively to resolve issues
- Ability to work independently and collaboratively as a team member, interact effectively and professionally with senior management, volunteer leadership and individual members
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
- Travel to the Annual Meeting of the House of Delegates for up to eight days
Nice to Have:
- Good listener with an inquisitive nature, wanting to understand a process and reasons for what is done, and the confidence to offer suggestions that could improve the process
- Previous experience coordinating multiple projects and supporting multiple staff
- Familiarity with InDesign, Aptify (or similar membership software, i.e., Salesforce/Fonteva), and Trello
