This role involves working with new transfer students from recruitment (prospect) through enrollment and conducting evaluations and articulations for admission to the university. The Coordinator maintains the transfer articulation catalog in Banner, determines the transferability and applicability of coursework to state and university requirements, and researches out-of-state courses to identify equivalencies within the State University System (SUS).Additionally, the Coordinator handles the articulation of all international college and university credentials, accelerated methods, and military coursework; interprets and applies admission rules and policies; advises prospective transfer students; and assists with application and enrollment-related issues, such as departmental information and financial aid or scholarship award packages. The incumbent must be able to interpret and make decisions based on state and university policies and procedures, determine Florida residency qualifications per Florida Statutes, and work with the Senior Assistant Director to develop goals and implement strategies for achievement. Recruitment and travel may be required.Department Office of Undergraduate AdmissionsFLSA: Non-ExemptMinimum Qualifications: Bachelor's degree in an appropriate area of specialization. Four years of direct experience may be substituted for a bachelor's degree.Position Qualifications: Knowledge of policies and procedures established by the Florida Department of Education and the University of West Florida is required, along with a background in Admissions and/or Higher Education. Must possess knowledge of degree programs, university facilities, and services available to students. Ability to interpret and communicate procedures and policies to university deans, directors, department chairs, and other authorized personnel and agencies is essential. Experience in interpreting transcripts and calculating GPAs for applicants is required, as is the ability to apply sound judgment and discernment when evaluating information from various educational systems.Preferred Qualifications Previous experience working in a college or university admissions office, along with experience using Banner and Slate, is preferred.Essential Functions / Job Duties:
  • 35% - Performs evaluations and articulations for transfer applicants, including those who need to meet Freshman Transient and transfer requirements. This process encompasses data entry through to final evaluation for both U.S. and international undergraduate students. Responsibilities include calculating Honors (H), Advanced Placement (AP), and International Baccalaureate (IB) credits, and incorporating additional points into the GPA as needed. The role involves verifying institution accreditation, assessing the transferability and level of coursework, and researching out-of-state college work with issuing institutions to locate course descriptions and determine the acceptability of transfer credits toward University requirements. It also includes evaluating the acceptability of transfer credits for General Studies, Gordon Rule, and CLAST requirements, as well as applying credit for accelerated methods where appropriate while ensuring no duplication with traditional credits or other accelerated methods. Military credit is evaluated based on recommendations and its relevance to degree programs. Decisions are posted in Banner as part of the permanent academic record, with decision letters ordered and routed to the file room for matching the following morning. The position requires ensuring all admitted students comply with Department of Education, Board of Governors, and University policies, and determining residency status according to Florida Statutes. - (Essential)
  • 35% - Process academic files for freshman, transfer, and international applicants, preparing them for evaluation. This includes reviewing applications, analyzing residency documents, matching previously received documents to new files, and requesting and receiving transcripts. Data entry tasks involve entering test scores from official transcripts into the permanent academic record in Banner, as needed. Applicants are added to Google Docs for various processes. Manually compute high school academic grade point averages (GPA) for freshmen and lower-division transfers by interpreting diverse high school transcript formats and grading scales from both U.S. and international institutions. Identify academic courses in English, Math, Natural Science, Social Science, and Foreign Language according to the Florida Counseling for Future Education handbook. Ensure transcript updates for graduating students are processed and articulated to facilitate proper degree auditing. Maintain transfer articulation catalogs in Banner and conduct research on area schools and their catalog inventories. Regularly update and verify course information from area transfer schools to ensure that all equivalencies are accurate and uniform. - (Essential)
  • 30% - Communicate with parents, prospective students, applicants, and admitted U.S. and international transfer students, as well as with the campus community (e.g., Deans, Chairs, faculty, advisors, and staff) through office meetings (appointments or walk-ins), scheduled meetings, email, and phone. The primary purpose of this communication is to interpret Department of Education rules, Board of Governors regulations, and university policies related to admission and enrollment. Additionally, assess the transferability of credits, UWF equivalencies, international college/university credentials, accelerated methods, Honors (H), Advanced Placement (AP), International Baccalaureate (IB) credits, military coursework, university requirements, and prerequisite requirements. Investigate and resolve issues for students, Deans, Chairs, faculty, advisors, and staff, including acceptance and calculation of transferred credits, transcript discrepancies, policy interpretation, and data entry issues. In addition to routine communications, engage in recruitment conversations with prospective students, applicants, and admitted U.S. and international transfer students. Provide guidance on enrollment-related issues such as financial aid and scholarship awards, departmental information, and transfer events (e.g., orientation and recruitment). Some travel may be required. Assist with and/or participate in Enrollment/University events as needed. Other duties as assigned based on departmental, unit and/or divisional needs. - (Essential)
