Job Summary
- The coordinator follows and complies with all hospital and regulatory agencies such as DEA, DOH, BOP, and FDA. Individual is responsible for receipt, shipment, and inventory activities between all the campuses. To ensure inventory is accurate, special requests are handled appropriately, problems are resolved; accurately and effectively under the direction of Director of Pharmacy. Must be knowledgeable of Paragon, automation (Pyxis), and billing applications. Attention to detail and proficient in Microsoft word and Excel is required. Assist in the planning and implantation of special projects in support of polices and procedures. Strong organization, problem-solving, and analytical skills are essential.
Responsibilities
- Inventory
- Performs daily, monthly and yearly inventory check and helps to reconcile inventory discrepancies.
- Responsible for inventory control and returns.
- Discrepancies are noted on receiving documents and reported to immediate supervisor.
- Responsible for the checking and verifying NDC and barcode to update master and site specific formulary.
- Works with pharmacy staff to unload shipments and returns.
- Reviews to ensure medications ordered are contract and notifies Director of any discrepancies.
- Review and place daily wholesale order based on needs of the department.
- Monitors and places direct specialty orders to pharmaceutical companies and vendors.
- Responsible of disseminating drug shortages information in daily huddle and on weekly basis to Director of pharmacy and pharmacy staff. Notify all staff of availability issues for medication. (Manufacturer backorders with ETA).
- Responsible for drug recall monitoring and notifying pharmacist on duty/Director of pharmacy. Follow instructions as per notice. Document actions for recall.
- Coordinate, perform and report year-end inventory.
- Assist with maintaining 340B usage documentation and complete audits as needed.
- Paragon
- Update medication costs, dispensing units, J-codes and revenue codes for accurate billing.
- Issue daily credits for non-scanning-paragon interfaced Pyxis stations. (ED, OR, PACU, Stress Lab, Specials, ADS, Wound Care.)
- Assist with trouble shooting of issues with IT. (Labels and batches not running.)
- Review Exception Report, and billing report to monitor accurate pharmacy billing process.
- Ensure medication scanning reconciles with NDC numbers.
- Trouble-shoot scanning RX-nursing scanning issues.
- Pyxis:
- Enter all new medications into Pyxis Formulary for pharmacist review.
- Back-up/Cover for Pyxis Coordinator.
- Training of new nurses, addressing access issues, assist pharmacist or nursing with discrepancies.
- Generate reports from Pyxis Report Writer when needed/ requested by the Director.
- Finance
- Review all invoices and code based on medication categories for Director's approval.
- Assist Patient billing with information for insurance companies to receive payment of services.
- Assist accounting to trouble-shoot patient billing errors (exp- wrong account selected in Pyxis, Procedure canceled and charged need to be removed, Nurse did not administer med in Paragon and charge was not generated.)
- Assistant to Director/Supervisor:
- Assist Director with contract cost comparisons and monitor changed in cost.
- Assist with data collection for PI projects.
- Assist outpatient areas with billing processes on yearly basis.
- Assist Supervisors with education files to comply with hospital policies.
- Monthly floor inspections for assigned areas.
- Fill in as a pharmacy assistant as needed.
- Assist in the planning and implementation of special projects in support of policies and procedures.
- Perform other duties as assigned.
- Maintain IV hood sterile supplies and required hood maintenance.
Qualifications/Requirements
- EXPERIENCE
- 5+ years of experience in Medical preferred.
- EDUCATION
- Associate's Degree or higher preferred.
- LICENSES/CERTIFICATIONS
- Must complete Annual Preventing Fraud, Waste & Abuse in Pharmacy Practice Training, DME training as required, and attend Mandatory In-service Training.
- OTHER
- Knowledge of computers, keyboarding, data entry and a willingness to learn new programs and computer techniques is essential. Must possess the ability to multi-task, be flexible, organized and work independently with minimal supervision.
