Hiram College is seeking applicants for a Coordinator of Data and Administrative Records supports assessment and accreditation compliance functions in the Education programs.

The Coordinator provides administrative support to Education by maintaining all assessment and compliance systems, collecting and aggregating data, and by preparing reports for program analysis and reporting by the Head of Teacher Education at the program, College, state and national levels. The Coordinator is responsible for the preparation and submission of the federal and state annual reports required for teacher preparation programs, in collaboration with the Head of Teacher Education. The Coordinator also maintains Educational Studies major/minor student data, maintains the department webpages including those related to EPP accreditation, and monitors and maintains state documentation including fingerprints, Preservice Teacher permits, and Ohio teaching licenses. The Coordinator communicates with outside partners and stakeholders when needed and assists with Education-related events.
Duties and Responsibilities:
Education
* Prepares and submits federal and state annual reports required for teacher preparation programs including but not limited to:
* Educator Preparation Performance Report (ODHE State Report)
* Pass Rate Report (Title II Federal Report)
* Program Report Card on the Quality of Teacher Education (Title II Federal Report)
* CAEP Annual EPP Report
* Creates all data reports for accreditation review (CAEP Accreditation Self-Study, Addendum, Site Visit and Final Report) and is responsible for the electronic evidence room for CAEP site review.
* Maintains database and prepares tracking report for licensure and Educational Studies candidates including all data required for admission, retention, and completion of program.
* Collects, aggregates, and prepares reports on candidate and program assessment data used in analysis for program improvement and accreditation.
* Maintains and frequently updates Education program webpages ensuring required accreditation information is posted.
* Creates and issues required surveys to graduates and employers; aggregates the survey data for analysis.
* Updates Educational Studies Handbook each summer per departmental program improvements.
* Collaborates with Education program faculty and staff to develop and implement new assessments and tracking forms/procedures.
* Updates licensure sheets with current course and testing requirements, ensuring most current sheets are posted on the department webpage.
* Assists in accreditation review process and visit logistic arrangements.
* Maintains department SharePoint site including maintaining student archive system, regularly scanning student files into electronic format.
* Maintains accurate protocol documents for all reports and procedures.
* Monitors inventory and check out procedure for program technology equipment.
* Attends Education program meetings and completes other Education administrative tasks as needed.
Skills and Knowledge
* Advanced proficiency with database systems and Microsoft Excel

* Ability to successfully collaborate with faculty and staff.
* Possess strong written and interpersonal communication skills.
Experience and Education
* Minimum 3 years of experience in an office setting including experience in the areas of data analysis and report preparation.
* Experience with assessment and accreditation processes preferred.
* High school diploma required; Bachelor's degree preferred.
* Advanced proficiency with database systems and Microsoft Excel preferred.
