Position Description The newly created Coordinator of Institutional Support is a key position at Eastern University duringan exciting time of growth and transformation in its history. We are in year three of our 2022-27strategic plan, Inspire. Innovate. Impact. This position is essential in enhancing the University'sengagement with faculty- and program-led initiatives to secure funding from foundations,corporations, and governmental sources. It focuses on coordinating data collection for grantproposals and post-award reports and cultivating relationships that advance the University's missionand strategic priorities.Reporting to the Assistant Director of Institutional Support, the Coordinator will work closelywith campus partners, including faculty, staff, the Office of Finance and Accounting, the Office ofInstitutional Research & Effectiveness, and other areas, to gather necessary program information,ensure accurate data collection, assist with developing compelling grant proposals, support post-award compliance, and assist with project management of the grant process from pre-submissionthrough post-award. This role requires a proactive approach to engaging partners, helping theAssistant Director and Director of Institutional Support align grant proposals with the University'sgoals and the interests of funding organizations, along with strong and consistent projectmanagement skills.Eastern's current sixteen-member Advancement Office raises approximately $3 million-$5 millionannually and is looking to increase this in the coming years through grant awards, documented legacygifts, unrestricted gifts to the annual fund, and strengthening alumni and family engagement. Theoffice has a collegial and collaborative ethos where staff communicate with one another and worktogether toward common goals. The successful candidate is expected to be a positive addition to theteam. Position Responsibilities ADVANCEMENT/ENGAGEMENT- Assist the Assistant Director and Director of Institutional Support with developing andimplementing strategies to secure grants from foundations and other sources by aligning withfaculty- and program-led initiatives and university priorities.- Support the Assistant Director and Director of Institutional Support with managing portfolios ofprivate foundations, corporate, state, and federal grant prospects and guiding the grant processfrom inquiry, proposal submission, and post-award management, including preparing andsubmitting required financial and progress reports in a timely manner.- Assist the Assistant Director and Director of Institutional Support in fostering collaborationwith program staff and faculty to align fundraising strategies with the University's strategicobjectives.- Serve as a positive liaison between the University, faculty, staff, Office of Finance andAccounting, Institutional Research & Effectiveness, and foundation donors, nurturingrelationships that facilitate funding opportunities.- Assist the Assistant Director and Director of Institutional Support with gathering programinformation and effective data collection from faculty and administrative departments todevelop compelling grant proposals and reports.- Monitor grant activities beginning with pre-submission through post-award requirements,including updating grant status and foundation/grant files (both paper and electronic),assisting program staff with reconciling grant budgets and expenditures, and ensuringcompliance with the funding entity's requirements, while maintaining rigorous reporting anddonor communication standards. Strives to achievechallenging goals and works through obstacles.Preferred Qualifications- Experience in higher education.Human Resources HR-Form E3 Revised: 7/2024- Experience with federal grants, including federal grant regulatory compliance requirements.- Familiarity with and success in the complex environment of a faith-based university.- Familiarity with the philanthropic priorities of various foundations interested in highereducation.- Familiarity with Virtuous or similar fundraising/marketing software is a plus.
