Position SummaryThe Coordinator, Prospect Management responsibilities include supporting the Senior Director, Prospect Management through high-level project management, in-depth technology usage, and customer service. More specifically, the Coordinator is responsible for managing special projects; requesting, organizing, and monitoring data sets; capturing internal and external business processes; and collaborating with other administrative support professionals to ensure all consultations and needed meetings are calendared. The incumbent will have superior attention to detail, outstanding oral and written communications skills, advanced computer skills, ability to work well under deadlines and to handle multiple projects simultaneously. The incumbent must have the ability to apply good judgment and handle confidential information and situations with sensitivity and discretion. Also have sensitivity to the needs and mission of Washington University in St. Louis and understanding of the importance of university relationships with alumni and friends.
Job DescriptionPrimary Duties & Responsibilities: Project Management
- Serve as project manager of several complex projects as assigned.
- Capture and update internal and external business processes to record policies and procedures.
- Liaison with Advancement Learning to develop standardize learnings for Prospect Management's policies and procedures.
- Manage Prospect Management's intranet site, surveys, and other ongoing projects.
- Manage onboarding schedules, materials, etc. for new Prospect Management hires.
- Offboard responsibilities from departing Prospect Management hires.
General Administrative Support
- Provide general administrative support for the Prospect Management team and Senior Director. Manage calendar; provide telephone support; schedule meetings, handle correspondence; prepare, send, and respond to emails; and draft correspondence and documents for the Senior Director.
- Create and manage various spreadsheets, reports and presentations using advanced techniques in Excel, Word, and PowerPoint. High level of confidentiality and discretion as is required.
Perform other duties as assigned.
