POSITION OVERVIEW
The Corporate Events Assistant supports the planning, coordination, and execution of events. This role involves assisting in all aspects of event logistics, from pre-event preparation to on-site coordination and post-event follow-up. The ideal candidate is highly organized, detail-oriented, capable of working in a fast-paced environment, should be a self-starter and someone who can navigate complex corporate departments (supply chain, Compliance, legal, accounts payable).
RESPONSIBILITIES AND ESSENTIAL DUTIES
Event Planning and Coordination:
- Assist in creating event timelines, schedules, and checklists.
- Help source and liaise with venues, vendors, and suppliers.
- Coordinate travel and accommodation arrangements for speakers, attendees, or staff as needed.
Logistics Management:
- Organize and distribute event materials such as badges, agendas, and promotional items.
- Assist with set-up and tear-down of event spaces.
- Ensure all technical and AV equipment is ready and functioning.
- Organize and distribute packaging and gifts to event attendees.
- Work in CVENT to create registration and invitations for multiple events.
Communication and Collaboration:
- Act as a point of contact for attendees, vendors, and team members during events.
- Respond to inquiries and provide on-site support during events.
- Maintain clear communication with the event planning team to ensure alignment.
Administrative Support:
- Handle event-related documentation, including contracts, permits, and invoices.
- Prepare post-event reports, including attendee feedback and evaluations.
Marketing and Promotion:
- Assist in creating promotional materials and event content.
- Manage event registrations and maintain attendee databases.
KNOWLEDGE AND SKILLS
- Strong organizational and time-management skills.
- Excellent communication and interpersonal skills.
- Proficiency in event management software and tools (particularly CVENT).
- Knowledge or working knowledge of design software and platforms (Adobe products and Canva)
- Ability to multitask and work under pressure in a fast-paced environment.
- Basic knowledge of budgeting and financial tracking.
- Flexibility to work evenings, weekends, and travel as required.
EDUCATION AND EXPERIENCE
- Must have at least 3 years' experience in events - preferably corporate events.
- Must be a quick learner and able to work autonomously as well as within a team.
- A bachelor's degree in event management, hospitality, or a related field (preferred).
FREEDOM TO ACT
- Ability to multi-task and function in a highly dynamic atmosphere; must exercise discretion independently.
WORK CONDITIONS
- The Events Assistant works both in an office setting and on-site at events. The role may require physical activity, such as lifting event materials and standing for extended periods during events.
- Capable of overtime, travel and weekend work.
- Travel within the US. (i.e. D.C., San Antonio, Austin)
