Job DescriptionYour TeamThe Corporate Events Team strategically partners with stakeholders to deliver superior, customized meetings and events. Through innovative ideas and industry expertise, we provide our clients and colleagues with the highest level of service, value, and professionalism, while embracing Invesco's Purpose and culture. The team is comprised of event managers who coordinate complex events with many logistics as well as a team of catering professionals who coordinate the logistics within Invesco's conference centers.
Your RoleThe Corporate Services Administrative Assistant has a variety of tasks to support the head of Corporate Services (who oversees events, travel, environmental health and safety, and corporate properties) as well as the head of Corporate Events, the North American event managers, and the catering professionals. Prioritization, organization, and strong communication skills are key qualifications to handle the many demands of the broad team.
You Will Be Responsible For:- Directly responsible for expense reporting on a weekly basis for the Head of Corporate Services, Corporate Events Team, Canadian Events and Aviation Department.
- Support Head of Corporate Services and Head of NA Events and Global Travel with administrative tasks such as upkeep of calendar, departmental meetings, travel arrangements and other administrative needs. Also support needed with gathering information and producing Power Point presentations.
- Supports individuals on the North American Corporate Events team.
- Responsible for sporting and entertainment ticket distribution and tracking.
- Assist with database tracking on various projects and the development of PowerPoint presentations when needed.
- Responsible for reporting needs within Cvent (meeting management system). This includes weekly reports, auditing information, securing missing information, running reports and presenting conclusions based on findings. Attendee management may be needed for specific meetings.
- Responsible to schedule weekly meetings including direct report and staff meetings. Develop agendas and communicate.
- Assist with shipping of mass mailings, conference supplies and general distributions. Some inventory management may be required.
- Support the production of collateral and meeting materials when needed (i.e. name tags, tent cards, agendas, VISIO diagrams, welcome packets etc.).
- Support conference center team when needed (including meeting room set up, catering support, cleaning and on-site management).
- Support in the altering and updating of the intranet website.
- Work on special projects for events, conference centers and travel when needed. •Administer and collect results for monthly service surveys.
- Input all marketing needs into Aprimo (software tool) for the events team and track for deadlines.
- Assist Managers with sourcing venues when requested.
- Assist Managers with hotel rooming lists when needed.
- Work in CVENT to assist managers with building of websites to include registration site builds, registration management, reporting and budgeting.
- On-Site event support to include setting up, working registration tables, distribution of materials, etc.
- Maintain inventory of gift closets and meeting, event and conference center supplies.
The Experience You Bring:- Some catering, hotel or event management experience is a plus
- Knowledge of meeting/event software CVENT is a plus
- Must be experienced with Microsoft Office Tools / Strong computer skills required
- Ability to work under pressure and prioritize time, projects, assignments
- Ability to make ethical judgment calls as it pertains to client entertainment and Invesco Resources.
- Attention to detail and strong organizational skills
- Team player who is open minded and flexible
- Strong verbal and written communication skills
- Strong interpersonal skills
- Professional dress code required particularly during client facing events.
- A Bachelor's Degree and/or equivalent work experience.
