Position Purpose:
The primary purpose of this position is for the effective administration of processes related to the Corporate Services function of the Tennessee Education Lottery Corporation (“TEL). These processes include inventory management and mailroom operations.
The secondary purpose of this position is for the incumbent to serve as the back-up for the reception/front desk operations.
Major Tasks, Responsibilities and Key Accountabilities:

Inventory Management
Maintains inventory of TEL forms and office supplies
Utilizes vendor software/website to accurately order TEL supplies
Reconciles vendor invoices to ensure pricing matches contractual agreement and invoices accurately reflect supplies actually ordered and received by the TEL
Manages the process of returning office products to the vendor, as necessary
Mailroom Operations
Retrieves, processes, and delivers inter-office packages to TEL personnel
Retrieves, processes, and delivers mail to and from the U.S. Post Office
Uses mail processing equipment to ensure appropriate postage is assigned to documents/correspondence
Utilizes vendor software/website to schedule shipments
Manages FedEx invoice reconciliation to ensure invoices accurately reflect TEL shipping activity and costs
Receives and processes incoming shipments
Assists with preparations for TEL events by loading, unloading, and setting up
Photocopies special TEL projects
Performs regular maintenance on copiers (cleaning glass, clearing jams, etc.)
Operates company vehicle to retrieve or deliver supplies, equipment, packages, staff, etc., as directed by supervisor
Maintains and delivers proper stock of copy paper, break room supplies and other corporate supplies
Maintains cleanliness, organization, and sanitation of the mailroom daily, according to company policy and standards.
Reception/Front Desk Operations
Operates a multi-line telephone system while adhering to the established front desk procedures
Greets and assists visitors, customers and staff
Maintains the visitor's logbook and issues visitor badges (also ensures badges are returned)
Schedules bookings for conference rooms, and sends confirmations of date, time, and other necessary information to the requesting party
Assists in the coordination of medics and/or security personnel in emergency situations
Education and/or Experience:
High School diploma (or GED) required, with a minimum of one year of mailroom and administrative support experience, knowledge of USPS, Federal Express processing strongly preferred; or any equivalent combination of education, training and experience, which provides the requisite knowledge, skills and abilities for this position.

Must possess good verbal communication skills with an ability to express oneself clearly, concisely and tactfully; exercise sound judgment in evaluating situations and making decisions; be flexible, work with interruptions, and shift priorities of work as required; demonstrate a willingness to serve and assist others; establish and maintain effective working relationships with all employees of the corporation and possess excellent computer skills.
Must be able to travel intra state using company vehicle. Must maintain a valid Tennessee Driver's License at all times.
