Job Description:

The Correspondence Support Specialist is responsible for processing and coordinating all correspondence received through various outlets including but not limited to mail, fax and electronic portals within the Patient Financial Services Department as well as rerouting correspondence to external departments.

  • Open all correspondence received from various outlets daily for Saratoga Hospital, Malta Med Emergent Care and physician billing agencies. Correspondence handled by position includes, but is not limited to; authorization letters, medical records requests, legal notices, payer correspondence and patient correspondence.
  • Remove all cash related correspondence and reroute to the Cash team for batching daily.
  • Assign all appropriate indexing references to correspondence within the billing systems and ensure mail is routed appropriately.
  • Maintain and monitor various filing and document imaging systems. With the ability to scan a high volume of correspondence efficiently.
  • Work returned and outgoing correspondence per policies in a timely manner.
  • Collaborate and communicate effectively with employees and PFS leadership to ensure any policies and procedures are updated with necessary changes in regards to correspondence.
  • Required Skills, Abilities and Attributes:
    • Proficient with the Meditech system
    • Ability to organize and establish day-to-day priorities while utilizing critical thinking skills in all aspects of the job.
    • Must be able to multitask while remaining professional, focused, composed and positive.
    • Excellent customer service skills and must display integrity, friendliness and compassion.
    • Must be able to establish an appropriate and effective rapport with patients, co-workers and medical staff.
    • Must be able to demonstrate effective and appropriate written and oral communication skills.
    • Ability to take and follow direction in a positive and appropriate manner.

    • Must be efficient and effective in the use of resources.
    Minimum Qualifications: High School diploma with at least 2 years of office experience. Associates or Bachelor's degree in lieu of office experience. Must have a high level of computer skill. Salary Range: $17.58 - $25.87 Pay Grade: 15 Compensation may vary based upon, but not limited to: overall experience, qualifications, shift, and location.
