The successful candidate will join the Child Protective Services Unit and the diverse department that envisions better health, safety, and well-being for all. Job Summary This administrative position is primarily responsible for:
- Assuring confidentiality, proper access, accuracy, archival, required recordation, storage, and destruction of records in compliance with all policies and regulations;
- Maintaining a records inventory process or file management system, and destroying records according to the Code of Virginia;
- Maintaining, storing, and assuring accessibility to case files - Logging file access and changing digitally;
- Processing and filing copies of incoming/outgoing correspondences;
- Assisting with updating existing records content;
- Receiving requests, locating, and retrieving documents for internal and external customers - Responds to records requests (FOIA) from citizens, the County and Commonwealth Attorneys' Offices, and community partners in accordance with State Code and retrieves records and sends to Paralegal for required redaction;
- Managing the digital and paper case file purge process - Scanning and uploading required documents into digital files and purging all digital and paper records by specified date;
- Conducting routine verification to ensure integrity of the filing system;
- Reviewing the client data information system monthly to assure automatic purge and notifies supervisor of electronic/paper records that are not properly merged for purging;
- Special projects as assigned.
