Vortex® is seeking a passionate and experienced Creative Resource Coordinator to manage all creative resources and execute against the Marketing Operations roadmap. This role works to support cross-functional teams in managing, planning, scheduling, and allocating creative resources to projects.What You'll Be Doing
- Allocate and manage creative resources to all projects.
- Daily evaluation of creative resources throughout the project planning process and holding responsible parties accountable to complete work on time and accurately.
- Track the performance of individuals and teams and share reporting with creative stakeholders.
- Assist in managing relationships with cross functional teams.
- Assist with project intake process and assignment within project management software (Workfront).
- Intake internal job requests, review for completeness, prioritize, and distribute tasks to design staff based on requirements of project and available resources.
- Oversee creative department POs and assist with tracking budget where necessary.
- Host weekly check-in with key stakeholders to ensure efficient assignment of all projects, identify excessive or underutilization of talent and problem solve any potential resource gap areas.
- Work with project managers to ensure responsible parties have the supplies and resources (i.e. copy, direction, etc.) they need to complete their assigned tasks within defined timelines.
- Assist in meeting project deadlines by working to clear creative roadblocks and manage through unexpected challenges.
- Assist in the delivery, distribution, and close out of projects where needed.
- Identify opportunities to improve systems and methods to help create, communicate, and maintain organizational alignment.
- Work with accountable parties and project managers to stay aligned on upcoming projects during the strategic planning phase.
- Use tools available to forecast creative needs and work with project manager to address any resource bottlenecks.
- Completing additional tasks assigned by the Project manager in an efficient and timely manner.
- Manage numerous resources.
- Manage and solve problems in an unpredictable and fast-paced environment.
- Other duties as assigned.
Requirements
- Proven self-starter with strong organizational, time management, and communication skills.
- Knowledge of various resource/project management methodologies and best practices.
- Experience facilitating meetings and work groups.
- Must be comfortable around dogs and firearms.
Preferred Experience and Skills
- Post-secondary degree and 2+ years of relevant experience (or equivalent combination) pertaining to resource management, project coordinating/management, marketing operations, or related areas.
