Job DescriptionPOSITION OVERVIEWCulp & Kelly, LLP (C&K) wishes to identify a motivated individual with bookkeeping and office management experience to work as a Finance and Administration Manager. The role is hybrid with onsite work in C&K's downtown Phoenix office.The Finance and Administration Manager will support multiple business functions of the joint enterprise and various Partner and Principal needs while working in a flexible, supporting, largely virtual, and often fun work environment.The Finance and Administration Manager will report directly to C&K's Managing Partners and be an integral part of the larger team.PRIMARY RESPONSIBILITIESBookkeeping and Finance Support• Maintain the Charts of Accounts accurately for each entity in QuickBooks, including revenue and expense data entry and tracking, and prepare quarterly profit and loss and other interim financial reports.• Respond to inquiries from the firm's CPA, as needed to prepare annual tax returns and quarterly tax payment estimates.• Work with the Managing Partners to prepare and update working annual budgets for each entity.• Review and approve the monthly expense reports of Partners and Principals using the firms' expense reporting software (Expensify).• At the direction of Partners and Principals, maintain the vendor lists and create bills payable using the bill payment software (Bill.com) for approval and payment by the Managing Partners. This includes monthly draw payments and profit-sharing payments to Partners and Principals.• Record payments in the firms' timekeeping and accounting software platforms (LeanLaw).• Process and deposit checks from clients.• Utilize invoicing software (LeanLaw) to prepare monthly invoices for further distribution and collection, as needed by Partners and Principals.Office Management & Administrative Support• Monitor and maintain subscriptions to software including QuickBooks, Bill.com, and LeanLaw.• Collect and process mail (including checks received) at the firms' physical office in Phoenix on at least a weekly basis and maintain the firms' physical filing systems .• Work with the firms' building manager and Managing Partners to ensure that maintenance and other building-related projects are organized and completed by outside contractors.• Provide other specific administrative support to the team, including scheduling internal team meetings and supporting planning efforts for team retreats.QUALIFICATIONS AND EXPERIENCE• 5+years of experience as a Bookkeeper or in a similar role; law firm experience a plus.• Associate or Bachelor's degree in Business, Accounting, Finance, or related field preferred.• Proficient in QuickBooks and Microsoft Office.• Proficient in Expensify, Bill.com, and LeanLaw or in comparable software programs.• Positive and professional demeanor with excellent interpersonal and communication skills.• Strong attention to detail and excellent organizational skills.• Able to maintain confidential information and prioritize time and tasks effectively.• Able to work independently and self-motivated.• Able to work a flexible schedule in a hybrid environment, including working in the downtown Phoenix office 2-3 days per week.CORE COMPETENCIES• Attention to Detail: Consistently exhibits a high degree of accuracy and precision in work. Contributes to a collaborative and enjoyable work environment.• Organizational Skills: Demonstrates excellent organizational skills by planning and managing tasks, documents, and resources. Maintains systems for organizing information so that information is easily accessed. PHYSICAL REQUIREMENTSWhile performing the duties of this job, the employee is occasionally required to do the following: stand; walk; sit; speak, and hear while communicating with others to exchange information; repeat motions that may include the wrists, hands, and/or fingers; use hands to finger, handle, or feel objects, tools or controls; reach with hands and arms; climb stairs; stoop; kneel; balance. The employee must occasionally lift and/or move up to 15 pounds.
