Job SummaryThe Payroll Customer Relations Specialist performs under the direct supervision of the Payroll Director and performs customer service support for the front desk of the Payroll Department. The Payroll Customer Relations Specialist will be familiar with the payroll system and the Time & Attendance System and will provide instruction to employees, timekeepers, and co-workers, if needed. The Payroll Customer Relations Specialist will serve as backup for the Payroll Specialist if needed to include all data entry functions, print and distribute payroll reports, reconcile payroll deductions to invoices, and remit deducted amounts to vendors. Demonstrates the ability to be a team member. Demonstrates knowledge and skills to appropriately communicate and interact with the employees, patients, families, and visitors of all age groups while being sensitive to their cultural and religious beliefs.Performance Expectations:
- Assist customers who visit the Payroll lobby as needed with completing direct deposit forms, tax forms, retirement contribution forms and any forms related to Payroll.
- Answer incoming calls and direct them to the appropriate person.
- Efficiently route inquiries to the appropriate person for resolution. Determine the purpose by asking follow-up questions to determine the appropriate resource.
- Open, Close, and maintain the lobby daily.
- Responsible for all employment verification inquiries.
- Coordinates supply orders.
- Responsible for scanning various Payroll documents to employee files.
- Assists with processing new hires paperwork.
- Distributes all incoming mail and faxes.
- Perform a variety of clerical functions as assigned.
- Maintains strict confidentiality for all department and hospital information as appropriate.
- Exercises a high degree of tact, poise, and patience.
- Demonstrate knowledge and skills to appropriately communicate and interact with all customers/visitors of all age groups while being sensitive to their cultural and religious beliefs.
Qualifications:EducationHigh school diploma or equivalent is required. Higher education preferred. Typing speed of thirty-five WPM is required. Computer literacy required. Must be proficient with Microsoft Suites, including Outlook.
Work Experience A minimum of one year of customer service/receptionist experience is required.
Mental DemandsMust be courteous, diplomatic, & cooperative while working with all customers (including applicants, employees, hiring managers, peers and manager) and use tact, patience & understanding in communicating with them. Considerable initiative, judgment, & ability for decision-making skills are required. Must have the ability to communicate on all levels & possess a sincere interest in helping people. Abilities need to be flexible to accommodate the variety of tasks associated with Payroll Operations. Must practice good guest relations at all times.
