Job Description:

Primary Purpose: Coordinate the activities of the facility to ensure timely receipt and shipment of customer's products and inventory; Ensures efficient workflow of operations through the issue of field work orders to satisfy customer requirements.Responsibilities:Ensure that customer reports andinventory management and accounting management systems are maintained in a timely and accurate manner.Manages the operating orders for the overall flow of inbound and outbound material movements.Monitor and report customer inventory at the terminal for bulk materials.Assist customer in making inventory movement decisionsDistributes daily schedules of barge, truck, rail, and pipeline orders to the operations department and terminal management.Works closely with Operations Supervision to ensure efficient completion of all orders.Tracks and reports operational performance against customer requirements/orders.Ensure that all quality control measures are always adhered to. Prepares inventory reports for customers daily.Provides excellent customer service and response to all customer inquiries/concerns.Ensures that all reports, records, and documentation are kept orderly and current.Maintain a positive and professional atmosphere for all employees and visitors.Provide administrative, clerical and basic bookkeeping support for terminal.Support employees with benefit, payroll and vacation questions, etc.Preparing employee files for personnel and training folders.Inventory and order all office supplies.Support accountant at terminal.Enter and submit requisitions into Smart Office.Seek approval for use of vendors. Check ISNET and confirming of contract in place before sending the requisition to the buyer for a PO#.Receive all material ordered via PO#'s in Smart Office.Track employees TWIC expiration dates.Issue Boot Vouchers.Other duties as directed or required.

EDUCATION: High School Diploma or GED Equivalent EXPERIENCE/SPECIFIC KNOWLEDGE: Knowledge of computer systems to include proficiency in MS Word, MS Excel, MS Access, and MS Outlook. CERTIFICATIONS, LICENSES, REGISTRATIONS: Must have ability to obtain a TWIC (Transportation Workers Identification Credential) as issued by TSA (Transportation Security Administration). COMPETENCIES, SKILLS, AND ABILITIES: Ability to pass a Pre-employment Drug Screen. Have the ability to monitor and schedule operational orders efficiently and effectively. Have the ability to track and reconcile inventory of materials. Effective communication skills, good business acumen, and strong organizational and problem solving skills. Must have excellent math skills. Able to recognize a problem or potential problem and take appropriate action. Must be able to work with a team, take direction from supervisor, keep required work schedule, focus on attention to details, and follow work rules. Successfully complete mandatory background check and drug screen upon job offer. PHYSICAL DEMANDS: Must be able to sit, stand, and walk for extended periods of time. Must be able to reach, climb, stoop, kneel, crouch, and crawl. Must be able to hear and smell for deficiencies and hazards. WORKING CONDITIONS: Must be able to respond to calls on a 24 hour emergency basis. Must be able to work long hours, in excess of 8, when required. Must be willing to shift and/or work overtime hours during the week, weekends and/or holidays as dictated by management.
