As our Customer Service Representative, youll play a crucial role in ensuring smooth order processing, maintaining accurate system data, and handling customer inquiries with care. Our ideal candidate is:

  • Ability to work under pressure to meet tight deadlines with minimal supervision.
  • Must be detail oriented with an ability to handle multiple priorities without losing details.
  • High sense of responsibility, organization, service attitude, sense of urgency, and teamwork.

Essential Duties May Include:

  • Administer customer service for assigned customers.
  • Proactively process customer orders, either manually or through EDI, ensuring timely entry of orders, correct pricing, and monitoring of orders through customer delivery.
  • Proof and confirm purchase orders to vendors.
  • Assist the Accounts Payable department by reviewing for accuracy commercial vendor invoices by performing 2-way match. Update the ERP with any changes. Inform customers of any changes to their purchase order.
  • Maintain warehouse and container price lists.
  • Obtain trucking quotes for customers who want their warehouse orders delivered.
  • Maintain system data in Sage until the end of the year, then maintain data in Oracle.
  • Provide Certificate of Analysis and NOP documents to customers upon request.
  • Electronically file import documents, customer purchase orders, and warehouse bol's using a paperless system called Doclink.
  • Manage the orders email box.
  • Handle customer complaints and process claim forms.
  • Perform other duties/projects as directed by management to further the organization's mission and profitability.
  • Assist the Accounts Receivable department with the handling of deductions and credit memos.

Knowledge, Skills, Experience Needed:

  • Demonstrated proficiency with MS Office (Word/Excel/PowerPoint/Outlook/OneNote/Sharepoint) and MS Teams.
  • Understanding of the sales process with customer service experience.
  • Must have excellent customer service, communication (oral and written), and follow-up skills.
  • A proactive approach to support and attention to detail.
