Job Description:

South Puget Sound Community College (SPSCC) seeks highly motivated and qualified candidates to fill three part-time Customer Service Specialist 3 position in our Outreach, recruitment, and Assessment department.

The Customer Service Specialist 3 in the Assessment/Testing Center reports directly to the Program Coordinator in the Assessment Center. The Customer Service Specialist helps to ensure support of the Assessment/Testing Center office and its cleanliness, and to assist students with their placement testing.

Extensive training and certification are provided for all proctored exams at SPSCC. No prior knowledge or experience proctoring tests and exams is required.

This opening is for three Part Time positions in the Assessment Center. We are looking for individuals that can work:

* Monday & Tuesday 8:00am to 5:00pm on campus with the flexibility as needed to work until 7:00pm during peak assessment times (generally 1-2 days per month, scheduled in advance).

* Tuesday & Wednesday 8:00am to 5:00pm on campus with the flexibility as needed to work until 7:00pm during peak assessment times (generally 1-2 days per month, scheduled in advance).

* Wednesday & Thursday 8:00am to 5:00pm on campus with the flexibility as needed to work until 7:00pm during peak assessment times (generally 1-2 days per month, scheduled in advance)

Front Office Operations

* Consistently maintain testing rooms and Assessment staff areas including restocking materials (scratch paper, pencils, etc.), cleaning desks, keyboards, mice and straightening chairs. Emptying recycling and garbage.

* Perform daily operations including printing forms and schedules, processing placement requests for students and data entry for services tracking.

* Assist in placement review and data entry for placement requests

* With supervision, resolve problems and respond to a large volume of inquiries via face-to-face, phone, fax, virtual and e-mail about Enrollment Services, Advising, Registration, Assessment and other campus departments.

* Scan and e-mail exams to instructors, inside and outside of the college.

* Check voicemail on a daily basis.

* Utilize desktop publishing, spreadsheet, and word processing software to create and manage documents, forms, track phone messages, etc.

Customer Service

* Interpret scores for College Placement Test, explain placement to students and staff.

* Answer student questions about next steps and the college enrollment process.

* Provide positive customer service - use active listening and strong written and oral communication skills.

* Inform and advise students, staff and the public with information and interpretation of college policies and activities related to placement and assessment at South Puget Sound Community College.

* Interpret and ensure confidentiality of customer information following federal FERPA guidelines and college regulations.

Testing Center support and coordination

* Serve as test proctor for a variety of different tests and platforms.

* Schedule and administer accommodated/make-up testing for students at SPSCC.

* Stay up to date on and follow federal and state regulations and requirements for administering mandated basic skills assessment, GED testing, WAMAP, Accuplacer, CLEP testing, CASAS, Prometrics (ASE), and other diagnostics.

* Set schedules for testing, communicate with faculty, and get passwords, schedule students, and proctor make-up tests for SPSCC students.

* Schedule and administer tests for outside testing or other colleges.

Minimum Qualifications

* High school graduation or equivalent AND two years of applicable clerical experience OR equivalent education/experience

* Strong computer skills related to email management and data entry

* Strong organizational skills

* Ability to work independently and as a team

* Ability to maintain student and office confidentiality

* Position requires high degree of accuracy and attention to detail

* Commitment to a working environment that values a diverse academic environment, inclusive of students, faculty, and staff of diverse cultural, socioeconomic, and educational backgrounds

Preferred Qualifications

* Experience with a Student Management System (SMS) and/or PeopleSoft

* Experience as a customer service representative

* Experience proctoring exams or tests

* Advanced knowledge of computers and software applications, specifically MS Office Suite: Word, Outlook and Excel

Conditions of Part-Time Employment

Non-permanent employees under the provisions of WAC 357-19-435 are only authorized to work up to a maximum of 1,050 hours in any twelve (12) consecutive- month period from the original date of hire. Employment with the college could end any time.
