Job Description:

  • Provide professional customer service to the general public and other government agencies with accurate information regarding civil cases.
  • Perform data entry regarding new cases that are filed by electronic filings or by mail and follow up with the appropriate case action.
  • Review documents to determine what cause of action is required by clerk such as entering defaults and redacting confidential information. Scan and index pleadings accurately into the system in accordance with time standards.
  • This position requires some independent judgment, as well as technical skill. Duties include performing clerical work requiring application of various work methods and procedures which may be complex.
  • Perform data entry for civil cases by indexing documents that have been scanned or electronically filed into the civil case management system and follow up with appropriate case action.
  • Perform data entry for new civil cases that are filed by electronic filings and follow up with the appropriate case action.
  • Research information using the case maintenance system.
  • Professionally create documents through the case maintenance system.
  • Close and reopen cases by using proper Summary Reporting System (SRS) by updating information in the disposition screen.
  • Accurately index scanned documents and electronically filed documents to the correct case, process/issue documents that require a course of action and validate funds when necessary.
  • Furnish technical information to inquiring customers without giving legal advice.
  • Prioritize all assigned work in order to meet time standards as required by Florida Statutes.
  • Due to the impact that may occur as a result of significant errors, a complete understanding and thorough knowledge of pleadings is required to perform this job.
  • The ability to distinguish pertinent documents that are time sensitive which require immediate attention is essential in this job position. For example: Order Rescheduling Foreclosure Sales, Objections, Bankruptcies, Answers and Proof of Publications etc.
  • Accurately scan all pleadings into case maintenance system by ensuring the pleadings are clocked-in or scanned with burn date, scanned in their entirety, scanned in the appropriate queue, scanned to the correct case number, and the pleadings are legible or the correct stamp is used to mark the document as being illegible or to correct case number.
  • Clean scanner daily to ensure documents are scanned legibly and in accordance to the Clerks Mission Statement.
  • Capability of validating all financial transactions in the case maintenance system and balance funds to deposit slip at the end of each work day.
  • Being able to work in a constant state of alertness and safe manner.
  • Perform other related work as required.
  • Ability to cross-train and assist with other areas as needed.
  • Ability to effectively correspond to customers in writing/emails using proper pronunciation.
  • Provides quality customer service and strives to meet the customer's needs by furnishing accurate information pertaining to civil procedures pursuant to Florida Statutes, Civil Rules of Procedure, and Administrative Orders in a compassionate manner.
  • Ability to research resource materials.
  • Complete understanding of procedures that require the clerk to prepare a Clerk's Certificate of Mailing according to the SOP.
  • Process all assigned work to ensure performance measures are in compliance with Florida Statutes such as: Notice of Actions, copy requests, Transfers, issuing Alias/Pluries summons.

Minimum Skills / Qualifications:
  • Graduate of an accredited high school or possess an acceptable equivalency diploma.
  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
  • Ability to accurately write correspondence using proper pronunciation.
  • Ability to speak effectively, present information and respond to questions from customers, related agencies, and employees of the organization.
  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
  • Ability to apply common sense understanding to carry out instructions furnished in written, oral or diagram form.
  • Ability to deal with problems involving several concrete variables in standardized situations.
  • Ability to work with other supervisors, staff, and other agencies and the general public in a supportive, productive, cordial, positive and cooperative manner.
  • Ability to develop and maintain a teamwork relationship with other employees in the work unit.
  • Ability to manage a high degree of stress, remain flexible as the envoronment changes, remain calm and continue to perform as challenges are presented.
  • Ability to work a flexible schedule, when necessary.
  • Ability to operate a PC and/or mainframe and related software applications and type 35 wpm.
  • Occassional overtime may be required.
  • This position requires a six month training period for new employees.
  • External candidates will be subject to an NCIC background check, drug screen and physical exam.
