SUMMARYThe person in this position performs involved technical work in the Donor Processing Department. Primary responsibilities include opening incoming mail, adding, reviewing, processing and entering gifts and constituent data; ensuring that all mail directed to the Florida Sheriffs Youth Ranches Main Office is received, delivered, opened and/or distributed and accounted for according to established policies and procedures and its contents given the highest priority of security, importance, speed in dissemination and sensitivity. Employee is expected to exercise confidentially, orderliness, discretion and thoroughness in performing assigned tasks and to be able to complete assignments with minimal supervision, while meeting established deadlines. The Data Entry Specialist is responsible to the Director of Donor Processing. This position is eligible for overtime pay. ESSENTIAL DUTIES AND RESPONSIBILITIESThe following duties and responsibilities are given as examples of the various types of work performed in this position. Other duties and responsibilities may be assigned.
  • Responsible for coordinating and ensuring the security, receiving, opening and distributing of incoming and out-going mail to/from the Main Office.
  • Opens Business Reply Envelopes which contain donations and ensures check information is accurate for depositing and processing gifts to the donor's records. Exercises the utmost confidentially and security of donor information.
  • Ensures that all monies received from all sources are properly accounted for and deposited according to policy and procedure. Scans check copies that need additional information to the appropriate staff.
  • Reviews paperwork attached to donation advice, compares against constituent record in the database and makes necessary updates and changes, including a note of any changes made. Adds new constituents to the database and prepares necessary paperwork, paying particular attention to appeal codes, fund numbers, package number and amount of the gift, for the depositing of the check and processing of the gift following established procedures. Contacts constituents or donor relations staff to clarify information as necessary before processing. Compiles batches for processing.
  • Researches and batches receipts for non-cash gifts for FSYR and SRE.
  • Edits gift processing completed by coworkers to ensure all codes are added to the donor record before submitting for receipting and letter processing. Communicates effectively with co-workers and/or supervisor any questions or errors found while editing.
  • Processes receipts and thank you letters on daily basis as assigned; folds letters and accurately compiles all reports, envelopes, letters, and receipts and sorts them for distribution. Runs next of kin letters and ensures they are correct for mailing.
  • Exhibits quality customer service when taking incoming calls. Communicates effectively with constituents regarding questions, requests, call-in donations, creates action notes for each conversation and follows up as necessary.
  • Assists in or is cross-trained in other areas of the Donor Processing Department including processing credit card donations, metering outgoing mail, making the town trip and assisting in the stuffing of in-house appeals and mailings.
  • Has a general working knowledge of all aspects of work performed in Donor Processing department.
  • Recommends improvements or changes in procedures to improve efficiency, productivity, and accuracy; advises Director of Donor Processing of any problems such as equipment performance, output quality, and processing errors.
  • EDUCATION AND EXPERIENCE REQUIREMENTSThe person filling this position must have a high school diploma or equivalent and at least one year of office experience. Proficiency with Windows based software, including Microsoft Office products is required. Experience with Raiser's Edge software is preferred. Job Type: Full-time Pay: $15.50 hourlyBenefits:
