With a portfolio of comprehensive schools, small specialty schools, support schools, micro schools, magnet programs, and extensive Career & Technical Education (CTE) offerings, PXU's schools of opportunity welcome, love, and inspire all students to go places and do things that matter.SUMMARY: The Accounting Clerk, Senior performs a wide variety of accounting and clerical duties, primarily related to the accurate and timely processing of approved invoice payments and maintains Purchasing Card Program.ESSENTIAL FUNCTIONS
Receives, audits, and verifies invoices for accuracy and completeness; ensures that purchases are in accordance with contract terms and District policies and procedures. Inputs invoices into the District's financial system; prepares a weekly check run of processed invoices and coordinates the distribution of warrants. Processes check requests, researches invoice payments, and creates financial reports with detailed purchases, account codes, and invoice information as needed. Responds to all vendor inquiries; researches and corrects any discrepancies; reviews vendor statements and communicates with vendors and end user. Provides information and assistance to District staff and vendors regarding procedural requirements for processing transactions. Prepares journal entries to general ledger for account adjustments related to chargebacks and/or to correct miscellaneous transaction errors. Cross-trains existing staff and new incoming employees. Assists with year-end reconciling of unpaid invoices, open purchase orders, and contracts. Facilitates closing of purchase orders. Prepares 1099 reports for District's independent contractors. Prepares monthly use tax payment for Arizona Department of Revenue. Maintains a variety of fiscal information, vendor files, records, and documentation. Supports the relationship between the Phoenix Union High School District and the public by demonstrating courteous and professional behavior when interacting with students, parents, visitors, and school staff; maintains absolute confidentiality of work-related issues, client records, and school information; follows Governing Board Policies; performs all other related duties as required or assigned.
